Position Summary Information
Summary
Responsible for financial administration of grants to include budgeting and reporting, coordinating with department chairs, project principal investigators, program directors and with University Grants Accounting. The role will provide operational support, collect and maintain data, and implement effective communication mechanisms to assist the project stakeholders to implement and evaluate the projects at NEOMED and across partner sites. This is a temporary position subject to grant renewal.
Principal Functional Responsibilities
Award Management: Prepare and compile award documents, including the creation of updated budget templates for awards based on award agreements. Maintain and provide current award balances and assist when requested on projecting spending trends to ensure principal investigators (PIs) have necessary information to make informed spending decisions. Work with PIs, Grants Accounting, and applicable sponsoring agencies on re-budgeting awards. Work with and assist sub-recipients in operational and reporting activities if needed.
Project Support: Schedule and manage meetings and agendas with grant-funded projects. Attend meetings and track progress toward project goals. Prepare meeting minutes as needed. Communicate with internal and external project partners to accomplish project activities.
Fund Management: Manage budgets of multiple grants within the department. Provide business support to PIs and/or Faculty Leaders for all aspects of grant fund management. Monitor spending and track all grant expenses including Personnel Action Forms (PAFs), P-card charges, invoices, and expense reports.
Administration & Recordkeeping: Manage all tracking and processing of labor distributions and resource allocations. Maintain files and databases based on department standards, policies, and procedures. Complete continuing medical education paperwork.
Reporting: Establish a reporting structure for assigned grants. Prepare regular and special internal reports for grant project managers. Prepare and ensure timely submission of external reports for sponsored projects per required sponsor rules/regulations. Review sub-recipient reporting for accuracy.
Proposal Preparation: Aid faculty and staff in proposal preparation, including budgets.
Other Duties: Perform other duties as assigned.
Qualifications
- Associate’s degree
- Two years’ experience in an accounting environment
- Experience with Microsoft Office Suite
Preferred Qualifications
- Bachelor’s degree
- Experience with grants management/administration in not-for-profit or higher education
Physical Requirements
Must be able to utilize a phone, computer and other office equipment.
Department Specific Information
Starting Pay Rate Range: $41,156 – $43,000, commensurate with experience.
