Position Summary Information
Summary
Manage the communications, planning, implementation, review, assessment, and promotion of grant programs (including digital content creation), continuing education, and medical student education within Family Medicine sponsored programs. This position interacts internally and externally to provide operational implementation and oversight of programs including convening meetings via conferencing software and in person.
Principal Functional Responsibilities
Budget and Financial Oversight: Assist in the development of a budget and the operational plans for grant programs. Track expenditures, reconciliation of P-cards, and development of financial reports as needed. Design and develop or assist with design and development of new program(s) and or project(s). Includes leading project teams and providing guidance to team members. Provide fiscal planning and oversight: submit requests, monitor expenses and resource allocation for grant budgets.
Operations: Maintain, configure, and analyze confidential, complex information and/or reports such as: financial/academic databases, special correspondence, publications, project status information and reports. Lead implementation of LEAN principles and promote a culture of continuous improvement. Provide project management and oversight. Collaborate with shared university units to improve student experiences as they relate to grant projects. Manage the short and long-term organizational goals of grants in accordance and alignment with the University Strategic Plan. Manage and track continuing education credit certification of programs.
Communication and Digital Media: Serve as a liaison between university and providers and community collaborators in support of key grant activities. Develop and update web presence on NEOMED website and through social media and target-audience communications. Attend conferences and meetings to disseminate grant programming knowledge, outcomes and increase participation in programming. Support in the promotion of key programs and educational opportunities and performance outcomes through multiple outlets including electronic and in-person means.
Miscellaneous Duties: Perform other duties as assigned.
Qualifications
- Bachelor’s degree
- Minimum 3 years related work experience in an administrative / department coordinator role with responsibilities for communications and promotions.
- Proficient with Microsoft Office Suite and databases, Zoom or other conferencing software
Preferred Qualifications
- Master’s degree in a related field
- Reporting experience in higher education or grant administration
- Experience in writing awarded grants
- Web site development, promotions, and social media experience
Physical Requirements
Must be able to utilize a phone, computer and other office equipment.
Department Specific Information
Hired professional is required to complete Project ECHO training, which may require up to 4 days of off-site travel out-of-state.
Starting Pay Rate Range: $25.04 – $30.28, commensurate with experience.
