JOB TITLE - Order Processing Assistant
POSITION OVERVIEW
Join our dynamic team at Neousys Technology as an Order Processing Assistant. This critical role processes sales orders, ships, and bills, and handles general administrative tasks, all of which are essential for ensuring customer satisfaction and supporting the success of the company’s operations.
RESPONSIBILITIES
1. Order Processing
- Process sales orders in the system.
- Prepare purchase orders for vendors.
- Enter data accurately and efficiently.
- File and organize related orders.
2. Shipping
- Prepare all necessary documentation for shipments and coordinate shipping requests.
- Schedule pick-ups and trace shipments to ensure timely delivery.
- Prepare shipping notification with necessary documents.
- Maintain organized records of all shipping activities, including tracking and documentation.
3. Billing
- Create invoices, and credit memos, and process credit card charges accurately and promptly.
- Address inquiries regarding invoices, payment methods, and due dates.
- Monitor customer credit limits, and overdue balances and ensure adherence to payment terms.
4. Administration
- Purchase, maintain, and manage inventory for office supplies, printer needs, warehouse materials, and cafeteria items.
- Keep office areas, including reception, warehouse, kitchen, and meeting rooms organized.
- Manage relationships with office vendors and building management.
- Support marketing activities as needed.
- Maintain comprehensive records of all documents for easy reference.
- Assist in various business matters as required.
- Perform general office duties to support overall operations.
REQUIREMENTS
- Education: Associate degree or equivalent experience in a relevant field.
- Experience: Minimum of 1 year in Order Management or General Administration.
- Attention to Detail: Strong ability to focus on details and ensure accuracy in all tasks.
- Data Entry Skills: Proficient in data entry and managing purchase orders, sales orders, and customer accounts.
- Computer Proficiency: Familiarity with ERP systems, QuickBooks, and MS Office Suite (Excel, Outlook, Word).
- Organizational Skills: Strong organizational skills with the ability to manage multiple tasks effectively.
- Time Management Skills: Ability to prioritize tasks and meet deadlines efficiently.
- Reliability: Trustworthy and has the ability to handle confidential information responsibly.
- Team Collaboration: Ability to work collaboratively with internal teams, including the Neousys team at headquarters in Taiwan.
- Language Skills: Proficiency in Chinese would be a plus.
- Professional Demeanor: Friendly and professional attitude contributing to a positive work environment.
