POSITION SUMMARY:
You’ll provide advanced administrative and organizational support to our leadership teams. No two days look the same – you’ll coordinate projects, lead distribution of information, schedule and coordinate large workshops, meetings, and travel arrangements all in a given week. You’ll also find yourself supporting special projects, creating presentation materials, preparation of reports/spreadsheets, and providing administrative support to various committees.
- Receive phone calls & emails for the executive, and act as the liaison between the office and internal customers, company executives, and outside firms
- Calendar management for senior level executives in the Arlington Hub
- Maintain the confidentiality of sensitive information and materials
- Greet visitors and determine whether they should be given access to specific individuals
- Attend meetings, take detailed notes, and distribute minutes to relevant stakeholders
- Assist in preparing and editing presentations, reports, and other documents as needed
- Coordinate and provide meeting support for team events including luncheons and off-site meetings (i.e., scheduling meetings rooms, coordinating food, logistics)
- Organize Leadership Team meetings and Operational Reviews
- Provide clerical assistance including mail distribution, document reproduction & distribution, translation, and invoice & expense report processing
- Develop and maintain the physical and electronic filing system for department records
- Serve as a representative of Nestle IT and Digital by coordinating with various leaders in the Arlington office and ensuring support in any ad hoc activities
Requirements
- High School diploma or certificate
- 5 years of professional experience as an executive assistant at a large organization with 1 of those years supporting one or C level executives
- 3 years of experience working with the Microsoft Suite, including Outlook, Word, and PowerPoint
- 1 year of experience using SAP Concur (or similar system) for expense reporting
Other
- Associate’s or Bachelor’s degree from an accredited institution is preferred

The approximate pay range for this position is $83,000.00 to $112,000.00. Please note that the pay range provided is a good faith estimate for the position at the time of posting. Final compensation may vary based on factors including but not limited to knowledge, skills and abilities as well as geographic location.
