Job Summary

The Project Administrator will act as a critical link between the Sr. Project Manager, vendors, and internal teams, ensuring efficient communication, documentation, and resource coordination.
Responsibilities
- Provide high-level administrative support to the Sr. Project Manager and designated market management team.
- Maintain office records, files, and sensitive materials, including license renewals, vehicle registrations, and new hire paperwork.
- Plan and coordinate onsite and offsite events, including catering, agendas, and venue bookings.
- Assist with new hire processes, including scheduling and onboarding guidance.
- Enter quotes and project budgets into NetSuite, ensuring accuracy and alignment with project plans.
- Create and update purchase orders (POs) for vendors and subcontractors, tracking material deliveries and updating project managers on ETAs.
- Validate receipt of materials and update NetSuite accordingly.
- Onboard new vendors, customers, and contractors in collaboration with the Supply Chain team.
- Manage NetSuite updates for active projects, including budget adjustments, change orders, and resource assignments.
- Support billing requirements for projects in both internal and external pay applications to ensure timely submissions for payments.
- Generate financial reports and project tracking updates as required.
- Reinforce expected behaviors and processes for technician resources.
- Represent the office professionally, handling inquiries and maintaining confidentiality.
- Effective interpersonal and communication skills, both verbal and written.
- Proven ability to multitask, prioritize tasks, and maintain composure in dynamic environments.
- Strong customer service skills with a high sense of urgency and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and NetSuite (preferred).
- Knowledge of material orders, tracking, and vendor management.
- Ability to work independently and collaboratively within a team.
- Highly organized with a strong focus on accuracy and confidentiality.
- 1 – 3 years of experience in construction and/or telecommunications industry.
- Associate degree, or equivalent work experience.
- Ability to read and write in English.
- Ability to work OT when needed
- Ability for travel (5% -10%)
- Prolonged periods of sitting at a desk and working on a computer.
