At Network for Hope (NFH) The Donation Support Services (DSS) Coordinator is responsible for triaging, screening, and evaluating potential organ, tissue, and eye donors by obtaining medical and social history, and working with hospital partners, coroners, processors, donor families, and other relevant agencies to facilitate donation. This role ensures that all donors and potential donor families are offered the opportunity for tissue and eye donation and plays a key role in the authorization process. The coordinator works closely with internal and external stakeholders to facilitate and maximize donation outcomes, ensuring compliance with all regulating, governing, and accepting agencies. The Donation Support Services department is a 24 hour per day operation, 365 days per year. Specific shift assignments will be determined upon hire based on staffing needs and could be day, night, or swing shifts as available (hybrid schedule).

Duties and Responsibilities

Referral Initiation

1. Receives potential organ, tissue and/or eye donor calls from referring hospitals, coroners and/or other relevant agencies, and communicates with on-call coordinators according to established protocols.

2. Accurately enters all referral information into the electronic charting system/referral database.

3. Accurately and effectively obtains and reviews potential tissue donor information such as relevant medical records, clinical course, hemodilution assessment, and medical history.

4. Accurately and effectively obtains potential organ donor information and updates on ventilated patients and communicates findings with the organ administrator on call (AOC).

5. Assists organ recovery team with initial call-in organ potential cases (import and heart-beating referrals).

6. Assesses appropriate state donor registry for registry status or makes contact with appropriate organ procurement organization for designation.

Donor Evaluation

1. Documents and evaluates relevant suitability criteria for all potential tissue donors.

2. Identifies initial suitability for tissue donors and consistently makes prompt, accurate decisions regarding acceptability of potential tissue donors.

3. Completes all required written and electronic documentation accurately and in a timely fashion.

4. Consults with a designated tissue recovery administrator on call (AOC), eye bank administrator and/or processing agencies as needed in order to determine if the next of kin should be contacted.

5. Understands and applies all internal/ external policies, procedures and standards relevant to donor suitability.

6. Builds positive, productive and professional rapport with tissue processor staff.

Approach and Authorization

1. Identifies and contacts the appropriate next of kin of potential tissue and/or eye donors. Discusses the opportunity of donation and obtains authorization or informed consent if the donor is registered.

2. Supports next of kin with any requested follow-up, answering of questions and/or concerns.

3. Accurately completes appropriate paperwork for donation, including authorization form and Donor Risk Assessment Interview (DRAI) from next of kin, or knowledgeable historian, over the telephone.

4. Consults with a designated tissue recovery AOC and/or eye bank AOC after authorization paperwork is completed to determine which processing agency to contact.

5. Completes all required written and electronic documentation accurately and in a timely fashion.

6. Complies with quality assurance guidelines and participates in routine quality reviews and quality checking (QA) of charts and ensures that any deviations from policy or protocol are documented.

Other Duties

1. When assigned/scheduled, acts as "charge" responsible for the day-to-day case activity and will ensure all follow up and case dynamic are completed.

2. Assists in the orientation, training, and development of staff in the DSS Department.

3. Aids with process complaints/concerns and other customer service issues effectively and assists in corrective actions concerning errors, accidents and/or complaints.

4. Delivers customer service with the highest level of excellence to internal and external stakeholders during routine and stressful situations.

5. Assists in accurately maintaining DSS information manuals including call lists, monthly schedules, directories, guides, etc.

6. Collaborates with the Supervisor and Manager on improvement initiatives and team building as needed.

7. Attends DSS staff meetings and trainings as scheduled.

Education, experience and training

  1. Education: High School Diploma, or equivalent required. Associates degree, medical-related certification, or some post-secondary education strongly preferred.
  2. Experience: Experience working in a call center environment, dispatch such as EMS, social work, nursing, or medical assistant roles are highly desirable. Requires excellent typing and data entry skills, ability to multi-task, experience using multi-line phone systems, and intermediate medical terminology specific to critical care healthcare.
  3. Licensure, Certification, and/or Registration: Medical Assistant, LPN, or similar preferred.
