As a Donation Support Services (DSS) Coordinator, you will play a key role in evaluating and triaging potential donors, working alongside hospital partners, coroners, donor families, and external agencies. You will help facilitate the donation process, ensuring compliance with all regulatory standards and offering families the opportunity for tissue and eye donation.
Key Responsibilities:
Referral Initiation
- Receive potential organ, tissue, and/or eye donor referrals from hospitals, coroners, and other agencies, following established protocols.
- Accurately enter all referral information into the electronic charting system or referral database.
- Gather and review medical and social histories for potential tissue and organ donors.
- Ensure accurate communication of ventilated patient updates with the organ administrator on call (AOC).
Donor Evaluation
- Document and evaluate suitability criteria for potential donors, ensuring accurate and timely decisions.
- Complete all written and electronic documentation in compliance with NFH's policies and standards.
- Collaborate with other departments to determine when to approach the next of kin for donation authorization.
- Build and maintain positive professional rapport with staff to ensure efficient donation procedures.
Approach and Authorization
- Contact the appropriate next of kin for potential tissue and eye donors and discuss donation opportunities with sensitivity and clarity.
- Obtain authorization or informed consent from the next of kin, ensuring all documentation is accurately completed.
- Assist families with follow-up questions and concerns about the donation process.
- Consult with AOCs after authorization to coordinate with the appropriate processing agencies.
- Ensure compliance with quality assurance guidelines and participate in routine reviews and quality checks of case documentation.
Other Duties
- Assist with the orientation, training, and development of new staff within the DSS Department.
- Address customer service concerns, complaints, and process issues, assisting in corrective actions as needed.
- Provide excellent customer service to internal and external stakeholders, both in routine and stressful situations.
- Help maintain DSS manuals, including call lists, schedules, directories, and guides.
- Collaborate with the Supervisor and Manager on department improvement initiatives and team-building efforts.
- Attend DSS staff meetings and training sessions as scheduled.
Qualifications:
Education: High School Diploma, or equivalent required. Associates degree, medical-related certification, or some post-secondary education strongly preferred.
Experience: Experience working in a call center environment, dispatch such as EMS, social work, nursing, or medical assistant roles are highly desirable. Requires excellent typing and data entry skills, ability to multi-task, experience using multi-line phone systems, and intermediate medical terminology specific to critical care healthcare.
Licensure, Certification, and/or Registration: Medical Assistant, LPN, or similar preferred.
