Summary of Essential Functions
- · Enter accurate demographic patient data into computer.
- · Answer the phones, take accurate and complete messages and routes calls.
- · Coordinate referral appointments by working with patients to arrange and schedule referral appointments. Set appointments, send reminders, and provide patients with information about upcoming appointment.
- · Mail out referring physician letters with office notes, as appropriate.
- · Scan medical reports in patients’ charts in a timely manner.
- · Send medical records to requesting entities such as insurance companies, other physicians, etc.
- · Gather information for billing department. Verify patient insurance information. Verify active coverage.
- · Perform patient call backs to remind patients of appointments.
Educational Requirements
- · High school diploma or equivalent required.
- · Must be able to communicate effectively in English, both verbally and in writing.
Knowledge/Skills/Abilities
- · At least one year of experience in medical field. Medical terminology a plus.
- · Requires the use of office equipment such as computers, telephones, credit card machine, fax machine and typewriter.
- · Effectively and courteously communicate with other persons.
- · Demonstrates patience, tact when dealing with other people.
- · Must be able to prioritize work accordingly to oral and written instruction using organization skills and sound judgment.
- · Requires good time management skills and attention to detail.
- · Must be able to tolerate flexibility and adaptability to progressive changes
Duties and Responsibilities
- · Performs reception, secretarial, clerical and other related duties: Answer and operate phone system, including intercom and pager system. Listen to and evaluate need of customers, then handle appropriately (e.g., transfer calls as needed, take accurate and complete messages and ensure timely delivery).
- · Greet and interact with various customers and personnel in a positive cooperative manner. Schedule office clinic appointments. Prepares records for next day’s patients and assists with scanning of test and ancillary testing results, patient office notes and other data.
- Maintain complete and accurate patient information files: Assist patients in providing data and ensuring that current information is in patient record. Place all current test results, dictation and other pertinent information in patient record in a timely manner.
- · Prepare discharge and follow-up letters for referring physician in a clear and concise manner to include appropriate patient data.
- · Maintain ongoing communication with clerical and clinical staff: Verifies patient appointments and relay information to clinical personnel and follows up on no show patients. Adjust offices schedules to meet physician and patient needs and reconfirm with all parties. Process medical records requests.
- · Work cooperatively with patient, families, staff and other healthcare providers: Ensures positive customer atmosphere and interactions in reception area. Assists in preparing patient for office visit and/or scheduling procedure.
- · Assists billing and collection personnel in compiling data and patient demographic information for insurance claims processing. Ensure that correct patient information and procedure are gathered to ensure correct insurance filing.
- Communicate and participate effectively with physicians, staff and management: Replay pertinent information to clinical staff to facilitate a seamless flow. Coordinate patient flow in conjunction with patient and clinical staff needs.
- · Performs all other tasks/responsibilities as necessary.

Pay: $13.00 - $17.00 per hour
