Position Overview:
We are seeking a friendly, organized the Front Office Coordinator to be NNW's welcoming face and organizational backbone. You’ll manage front desk operations, ensure seamless scheduling, and support clients with empathy and professionalism. This role is critical in maintaining a smooth, confidential, and caring environment for clients and clinicians alike.
Key Responsibilities:
Reception & Client Interaction: Warmly greet clients, answer calls/emails, provide basic information about our services, and provide a calm, supportive atmosphere.
Scheduling: Coordinate appointments using Electronic Health Record (HER) systems, supervise our electronic reminder system, and manage clinician calendars.
Patient Intake: Assist with onboarding paperwork, verify insurance, process payments, and maintain accurate records.
Administrative Support: Collect payments or co-pays, organize files, prepare documents, order supplies, and assist clinicians with tasks.
Communication: Serve as a liaison between clients and clinicians, ensuring timely and sensitive information flow.
Compliance: Uphold strict confidentiality and HIPAA standards in all interactions.
Team Collaboration: Collaborate with clinicians and Leadership Team to implement office policies, support special events, pitch in on ad-hoc projects as our practice grows.
Qualifications:
Education: High school diploma required; associate’s/bachelor’s degree preferred.
Experience: 1–2 years in customer service, front-desk, administrative roles, preferably in healthcare/mental health.
Skills: Proficiency with Microsoft Office, email, phone call management, and multitasking. Exceptional communication, organizational skills, attention to detail, and empathy.
Preferred: Experience with EHR systems (e.g., SimplePractice, TherapyNotes), Bilingual abilities, insurance verification experience, mental health terminology knowledge.
