JOB GOAL: To ensure the smooth and efficient operation of the Finance and Operations Office so as to maximize a positive impact on the education of students. To contribute to effective school public relations by prompt and courteous handling of all inquiries and visitors. To complete detailed and written work and to coordinate other matters essential to the efficiency and effectiveness of the Finance and Operations Office.
PERFORMANCE RESPONSIBILITIES:
1.Performs any and all administrative tasks as directed by the Assistant Superintendent of Finance and Operations or Business Manager.
2.Maintains appropriate levels of confidentiality related to work and information handled by the Finance and Operations Office and/or Assistant Superintendent of Finance and Operations or Business Manager.
3.Welcomes visitors and arranges for their comfort and screens unexpected callers in accordance with predetermined policy.
4.Handles calendar management and overall logistics for meetings and conferences.
5.Provides assistance to the Assistant Superintendent of Finance and Operations or Business Manager in all matters of official correspondence and in the generation of any related periodic reports.
6.Assists in the organization and preparation of information pertinent to the department and the District, including confidential correspondence and documents.
7.Attends and transcribes minutes for Finance & Operations Subcommittee meetings.
8.Any other related duties as required by the Assistant Superintendent of Finance and Operations or Business Manager with excellent attention to detail.
QUALIFICATIONS:
1.A minimum of three (3) years of successful secretarial experience within a public or private organization's management office preferred.
2.Demonstrated ability to effectively communicate with staff, parents, and the community.
3.Demonstrated ability to collect, process, and maintain confidential data related to staff and/or students.
4.Demonstrated ability to apply sound policies and procedures as it relates to maintaining confidentiality, coordinating multiple tasks and scheduling work efficiently – flexibility is a must.
5.Demonstrated ability to contribute to a professional office atmosphere and has strong interpersonal and communication skills.
6.Demonstrated ability to prepare official correspondence, organize information, and generate periodic reports.
7.Demonstrated ability to take initiative and work collaboratively with others within a central management office.
8.Strong writing skills and full proficiency with Microsoft Word, Excel, and PowerPoint.
9.Operates computers, calculators, copiers, and facsimile machines.
10.Excellent attendance record is essential.
TERMS OF EMPLOYMENT:
•Non-Union Position
•12 month work year
•40 hour per week / 8:00 a.m. to 4:30 p.m.
•Salary: $50,000- $55,000.00 (based on experience)
•At least 3 years of relevant experience preferred
