POSITION SUMMARY
The Administrative Assistant reports to our CAO and supports our Team by assisting with a wide range of responsibilities within the Finance and Administration Department. This position requires experience with office administration, such as order management, entering invoices into QuickBooks (AP), logistics coordination, records/data management, and maintaining positive vendor and Team relationships.
RESPONSIBILITIES
Administrative Support:
- Provide general administrative support to ensure efficient operation of the business office.
- Handle incoming calls, emails, mail, and other communications, directing them to the appropriate parties.
- Enter all invoices received (Accounts Payable) into the accounting system.
- Maintain office supplies and equipment, ensuring availability and functionality.
- Arrange domestic and international travel for Team Members to include booking flights, hotels, ground transportation, and preparing/distributing itineraries.
Order Management and Invoicing:
- Regularly monitor the Master OPR (Order-Purchases-Receipts) log, create purchase orders, prepare orders for approval by the CAO, and maintain accurate records.
- Track orders from initiation to delivery, addressing any delays or issues promptly by coordinating with suppliers to ensure timely and accurate delivery of goods.
- Verify invoices and payment requests are accurate, properly approved and are aligned with company policies.
Logistics Coordination:
- Work with logistics providers to arrange shipping, track shipments, address any transportation issues, and ensure efficient, cost-effective delivery.
- Prepare all shipping and customs documentation, ensuring accuracy and completion.
- Identify opportunities to improve supply chain processes and procedures.
QUALIFICATIONS
- High School diploma and 2-4 years of experience in administrative support, supply chain, or logistics.
- Excellent organizational, communication, and problem-solving skills.
- Strong communication skills both written and verbal.
- Excellent organizational skills with high attention to detail and accuracy.
- Must be self-directed and capable of processing and prioritizing multiple tasks and handling a varied workload with minimum supervision.
- Proactive and results-oriented mindset.
- Must be able to work on-site at our Knoxville, TN location.
- Ability to prioritize and multi-task; adept at time management and able to meet deadlines.
- Intermediate computer skills in Microsoft Office Applications (Outlook, Excel, Word, and PowerPoint).
- Experience with QuickBooks online preferred.

- 8:00a – 5:00p
- Compensation commensurate with experience & education.
