Summary:
The Clinical Law Office (CLO) Office Manager (OM) will play a key role in the operation of the law school’s clinical program, which consists of an in-house clinic and legal externships. In the CLO’s in-house clinic, Student Attorneys are trained by full-time Clinical Professors to represent low-income clients in civil cases. The OM will be primarily responsible for screening potential clients, supporting the Clinical Professors and Student Attorneys, and maintaining the CLO’s case management system. With the legal externships, the OM supports the Director of Clinical Programs with all aspects of oversight and successful operation. The OM is the sole administrative staff position in the CLO.

Essential Duties & Responsibilities:
A) For the Clinical Law Office (CLO)-the OM’s duties will include, but not be limited to:
- Provide initial screening of potential clients to determine income and geographic eligibility and relevant subject areas for assistance by the Clinical Professors and Student Attorneys;
- Refer to other organizations potential clients the CLO cannot assist;
- Track all phone calls and correspondence related to CLO legal matters;
- Oversee the operations of the office area and front desk;
- Serve as point person for main phone lines and emails;
- Provide administrative support to the Clinical Professors and Student Attorneys;
- Help maintain the online Case Management System and paper client file system;
- Help schedule and welcome clients and potential clients to the office for meetings;
- Maintain general office files and records;
- Help communicate with the IT Department for needed technical support;
- Order Office Supplies as needed;
- Help with orientation and onboarding of new Student Attorneys each semester;
- Help the Director of Clinical Programs prepare and submit Malpractice Insurance renewals; and
- Manage the office’s petty cash and IOLTA accounts
B) For the Overall Clinical Program-the OM’s duties will include, but not be limited to:
- Help prepare and circulate all memoranda and forms to off-site supervisors and students;
- Maintain records as to supervisor contact information for each student each semester;
- Help prepare SJC Rule 3:03 applications each semester, in coordination with the Office of Student Services;
Qualifications & Requirements:
- Bachelor’s degree;
- Ability to work well with diverse law-student and client populations;
- Demonstrated administrative and organizational skills;
- Fluency in languages other than English, and particularly Spanish (preferred);
- Prior experience with low-income litigants in a legal setting (preferred);
- Excellent attention to detail;
- Excellent oral and written communication skills;
- Proficiency with Microsoft Office (especially Word);
- Demonstrated willingness and ability to learn new technological tools related to the practice of law, such as with Case Management Systems;
- Professional demeanor and excellent customer service skills; and
- Ability to maintain confidentiality in a legal and law school setting.
