Primary Function: Responsible for assisting the organization’s payroll team and compiling payroll data to maintain accurate payroll records.
Payroll Assistant - What will you do?
• Assist with all aspects of the payroll process for weekly payroll.
• Review for discrepancies, identify errors, and communicate with operations, accounting, and human resources to ensure accurate payroll processing. Maintain documentation for processing corrections.
• Enter and/or upload data for wage rates on contracted prevailing wage projects and collective bargaining agreements.
• Assist with certified payrolls, state and federal, for contracted projects.
• Assist with payroll tax reconciliations and reporting.
• Enter data for employee wage garnishing, tax withholding, direct deposit, onboarding pay, and related payroll adjustments.
• Prepare payment requests for submission to accounts payable.
• Handle highly sensitive data and information with strict confidentiality.
• Assist with ensuring payroll is compliant with internal and external control policies.
• Respond to various payroll inquiries from employees and outside agencies.
• Assist with communications from the payroll department to various employment groups.
• Ability to learn new programs, systems and data functionality.
• Assist with special projects, as needed.
• Attend meetings and trainings as required.
• This position requires the ability to handle stress, interrelate positively both orally and in writing with others, the ability to attend work and be punctual as well as work overtime when required.
Requirements - Who are we looking for?
• High School Diploma or GED required; associate’s degree preferred.
• Minimum of six months to one year of payroll or general bookkeeping/accounting experience preferred.
• Ability to build professional relationships with leaders and external networks.
• Excellent customer service orientation.
• Must have strong interpersonal, verbal and written communication skills.
• Must be able to work in a fast-paced environment and handle multiple tasks simultaneously.
• Must possess strong attention to detail, good organizational skills with the ability to ensure accurate work.
• Ability to work independently but as part of a team concept.
• Flexibility and the ability to operate under stressful, time-sensitive deadlines.
• Proficiency in using Microsoft Office (Word, Excel, Outlook, PowerPoint).
• Valid driver’s license with good driving record for insurability.
