Summary/Objective
This position is the front-facing person for our community. They are the friendly face people see when they enter the door. The Front Desk Representative is the most frequent point of contact between residents/families and our community and is responsible for answering incoming phone calls, answering questions and/or complaints from family members.
Essential Functions

• Greets visitors, residents, and vendors to the community, signing appropriate persons in/out
• Assists in maintaining Fair Housing compliance, as well as other state, local, and federal guidelines that apply to the senior living program
• Oversees emergency systems and respond accordingly
• Signs in /signs out keys for staff, vendors, etc. as needed. Maintains accountability for all keys and perform audits when required
• Prepares resident package log, delivers packages and assists residents with packages
• Operates the community market, assisting residents and guests with purchases
• Assists in the setup of resident activities as needed
• Activates Emergency Personnel when appropriate, completes incident reports, and contacts resident emergency contacts
• Posts charges to resident accounts when directed
• Resolves resident issues as well as possible when they arise. Always strives to achieve excellent satisfaction ratings from the residents and their families by providing a high level of customer service
• Prepares and updates all reports, including: Resident Directories, Vehicle ID Log, Storage Unit Rental Log, Misc. Income Log, Temps and Gauges Log, etc.
• Inputs apartment and property work orders into the property management system as directed
• Performs light maintenance functions, such as clogged toilets, smoke alarm battery change, thermostat battery changes, and installing portable AC units
Competencies
The Front Desk Representative position must possess excellent customer service, problem solving and communication skills. In addition, multi-tasking skills are essential.
Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
Work Environment is generally indoors in a climate-controlled environment. Generally, an office setting is the most common environment. Occasionally, work will take place outside, subject to the weather conditions of that day. Generally, time spent outside is in walking between buildings on the property to assist residents.
Physical Demands
Work required is general office work in nature. Sitting, standing, walking, stooping are routinely required. Occasional pushing, pulling and lifting objects of up to 25 lbs. is required. Work level is medium.
Position Type/Expected Hours of Work
Position is full time, permanent position. Expected work schedule is 8 hours per day, and daily work schedule can vary depending on the needs of the community. A Front Desk Representative is always on property, 24 hours per day, 7 days per week.
Travel Requirements
Travel for training is occasional.
Required Education and Experience
• High School diploma or equivalent is required.
• Some customer service experience required
• The ability to provide excellent customer service and maintain a professional demeanor at all times
• The ability to input and access information in the property management system and/or points-of-sale system
• Great verbal and written communication skills
• The ability to create a fun and supportive working environment
• Basic math skills
Preferred Education and Experience
• Previous experience working as a front desk agent or in a similar role
• Proficiency with computers
