Receptionist & Intake Coordinator
Position Overview
As the initial point of contact in the New Friends New Life office, the Receptionist & Intake Coordinator is a key player within the agency. This individual is responsible for the front office and serves as the primary face and voice of NFNL to visitors and members. This role provides a welcoming environment for all who enter the office. This role also serves as the intake coordinator for women who may be potential participants in our programs and services.
Work Schedule
Monday-Thursday 9:00am-5:00pm; Fridays 9:00am-3:00pm
All work is done on site - this is not a remote role.
Job Responsibilities
- Exercises discretion and independent judgment on matters of significance involving clients and office operations, requiring a high degree of decision and problem solving skills.
- Answers all incoming calls during business operating hours, and ensures adequate coverage of phones and reception area at all times.
- Using a trauma-informed approach, conducts phone intakes with potential clients which are used to determine eligibility for our programs and services.
- Schedules new clients for the first appointment with a Case Manager.
- Monitors the office security camera system to manage secure door entry for members and guests.
- Responsible for ordering and maintaining office and kitchen supplies.
- Reports all building maintenance issues to landlord for repair, and keeps the front office and kitchen tidy and organized.
- Collects and distributes mail and packages.
- Provides some administrative support to other departments and teams including the Chief Executive Officer, Chief Programs Officer, Chief HR and Operations Officer.
- Documents drop off in-kind donations.
Required Job Qualifications, Education, Skills:
- Bachelor’s degree is required (Social Work or related degree preferred).
- Exceptional interpersonal skills with a strong commitment to customer service.
- Polished, friendly and professional telephone etiquette.
- Warm, welcoming and nonjudgmental demeanor.
- High degree of discretion required and the ability to maintain confidentiality to protect the privacy of our clients.
- Intermediate skill level with Microsoft Word, Excel and PowerPoint.
- Excellent team player and willingness to assist.
