Role Objective
We are seeking an experienced Executive Assistant to the CEO who has effective communication skills and can anticipate needs, think critically, and offer solutions to problems with an elevated level of professionalism and confidentiality. Are you a dynamic professional with the capability to handle many challenging and critical situations while maintaining order and optimism? In this role, you will be the trusted partner who will ensure that our CEO can focus on leading our firm's mission to transform immigration law. You will manage both professional and personal logistics while contributing to key initiatives that help our firm scale its impact.

- CONFIDENTIALITY. Maintain discretion with the information you are privy to. You must be careful in handling confidential information and ensure that your knowledge does not impact how you work with others.
- ANTICIPATE NEEDS. Maximize the CEO’s efficiency, by getting ahead of their needs and thinking strategically through all the motions and contingencies of their day and proactively.
- TIME MANAGEMENT. Manages multiple projects and tasks simultaneously with a focus on prioritization and quality. As a result, conflicts are diverted or delayed.
- EXCELLENT VERBAL AND WRITTEN SKILLS. Anything said or written from the CEO’s office represents that CEO. Therefore, it is vital to have an impeccable command of the native language and hold to the highest standards for all written correspondence and verbal communication.
- INTERPERSONAL SKILLS. Ensures that interactions with everyone internally and externally in a professional, positive, kind, caring, gracious, and service-oriented manner.
- TECHNOLOGICAL SKILLS. Possess a fluidity and range of tech knowledge and keep up to date with the best productivity, organizational, and project management tools.
- EFFECTIVE DECISION MAKING. A CEO’s EA constantly makes decisions that impact the executive so it’s critical to know the executive’s preferences and priorities.
- RESPONSIVENESS. Work quickly and respond to requests with a keen sense of urgency while owning the follow-through for all requests in as timely a manner as possible!
- EXECUTIVE MINDSET. The ability to think strategically and plan for future events while working proactively. Strives to understand and articulate the business, its’ mission, and your CEO’s objectives and priorities.
Responsibilities
- Masterfully manage calendars and daily schedules, prioritizing competing meeting requests, tracking action items and commitments, while maintaining balance in schedules.
- Arranges detailed travel plans and itineraries, anticipating needs, managing preferences, and adapting to evolving schedules and requests.
- Coordinate high-stakes meetings, travel arrangements, and events with meticulous attention to detail
- Provide accountability support for commitments and goals
- Screens incoming requests and communications, delivers accurate messages, and responds to requests by gathering and providing information and referring non-routine calls and emails to the appropriate staff.
- Manages offsite meetings, events, and programs
- Collaborate with other departments to ensure smooth office operations and maintain an organized workflow.
- Maintains accurate and efficient files and records.
- Demonstrate technical aptitude to research, learn and recommend modern technologies.
- Highlight deadlines, pending actions, and any time-sensitive matters. Compile and prioritize appointments and urgent tasks.
- Develop and maintain SOPs for recurring processes
Requirements
- Knowledge of the legal services industry is a plus
- Minimum 3 years’ experience as an Executive Assistant or similar role
- Proficiency with office software and marketing tools (Microsoft Office, Google Workspace, Convert Kit, Kajabi, Canva)
- Local to Glendale, AZ area for in-office work

Salary : $75,000 - $90,000
