Overview
We are seeking a dedicated and organized Assistant Property Manager to join our team. The ideal candidate will play a crucial role in supporting the Asset Management team by ensuring efficient tenant satisfaction, and assisting with the overall management of our properties. This position requires strong administrative skills, effective communication, and a proactive approach to problem-solving.
Duties
- Assist in managing day-to-day operations of the property, ensuring compliance with company policies and procedures. Includes calling municipalities and reaching out to vendors to schedule work for code compliance cases. Assisting to close out any that are complete and pending inspections, fees etc.
- Handle tenant inquiries and concerns with professionalism, demonstrating excellent phone and email etiquette.
- Coordinate property maintenance requests and ensure timely completion of repairs, and that any repairs are billed back to respective Properties/Tenants.
- Support lease administration including reviewing Leases, entering Lease rates into the accounting software and understanding CAM, NNN, lease terms.
- Utilize MRI software for tracking tenant information, all financial reporting, payments, and maintenance requests.
- Maintain accurate administrative records and documentation related to property management activities.
- Monthly Financial Reporting - Assistant PM will scan all packages, and make appropriate copies for ownership and distribute.
- Accounts Payable, paying roughly 15 invoices per month online, record in software and billback to Tenants.
- Prepare and pay Florida Sales for the rents received, template is already in place includes filling in the blanks, reviewing and scheduling payment online. Experience is a plus but if you're willing to learn we can teach you this process easily.
- Open Mail, review for urgency and distribute accordingly.
Qualifications
- Previous experience in property management or a related field is preferred.
- Strong administrative skills with attention to detail and organizational abilities.
- Excellent communication skills, both verbal and written, with a focus on customer service.
- Proficiency in MRI Real Estate Software software is a big plus.
- Experience in facilities management or property maintenance is beneficial.
- A proactive attitude towards problem-solving and multitasking in a fast-paced environment.
