Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will provide essential support to ensure the smooth operation of our office. This is a dynamic role that requires excellent organizational skills, the ability to multitask, and strong communication skills.
Duties:
- Hiring, training and managing staff, including development of work schedules
- Ensuring compliance with laws and regulations
- Preparing budgets and billing patients
- Maintaining clinic records and data
- Working with nurses and other staff members to ensure high-quality patient care
- Schedule employees based on patient needs
- Oversee the organization of all patient records
- Stay up to date on healthcare laws and regulations
- Offer recommendations to decision-makers on ways to improve the efficiency of the office
- Provide administrative support to the management team
- Manage calendars, schedule appointments, and coordinate meetings
- Prepare and edit documents, reports, and presentations
- Assist with project coordination and follow-up on action items
- Handle incoming calls, emails, and correspondence
- Maintain office supplies and equipment inventory
- Assist with event planning and coordination
- Perform general office duties such as filing, scanning, and photocopying
- Provide customer support and address inquiries or issues
Skills:
- Proven experience as an Administrative Assistant or similar role
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with QuickBooks for basic bookkeeping tasks
- Knowledge of Google Suite (Gmail, Docs, Sheets) for collaboration and document management
- Strong proofreading and editing skills to ensure accuracy of documents
- Experience with front desk operations and phone systems
- Excellent project coordination skills to manage multiple tasks simultaneously
- Ability to plan and execute events with attention to detail
- Exceptional customer service skills to provide support to clients or customers
- Strong organizational skills to maintain files, records, and schedules
