The New Mexico State Veterans' Home is located on sixteen picturesque acres in Truth Or Consequences, New Mexico. It provides long-term and skilled nursing services for honorably-discharged veterans, their spouses, or parents of veterans killed in combat action. The facility has 131 nursing home, skilled-nursing living beds. Services for residents are provided 24/7, focusing on maintaining or improving their physical, mental, and psychosocial well-being under a personalized plan of care developed by licensed health professionals
Why does the job exist?
The New Mexico State Veterans Home is seeking a highly experienced and detail-oriented Medical Records Supervisor to oversee the operations of the medical records department. This key leadership role ensures the accuracy, privacy, and regulatory compliance of all health records, supports quality improvement initiatives, and maintains continuous survey readiness for CMS and VA inspections. The ideal candidate will have direct experience in a Veterans Home or VA healthcare facility, with a proven track record in managing health information systems in a long-term care setting.
How does it get done?
¿ Lead and supervise the daily operations of the medical records department, ensuring accuracy, confidentiality, and compliance with regulatory standards.
¿ Supervise and direct at least two (2) full-time medical records staff; manage scheduling, evaluations, and discipline in accordance with State of New Mexico HR policies.
¿ Serve as the facility's lead for CMS and VA surveys, providing complete and timely documentation, reports, and audit responses.
¿ Maintain and regularly update the facility's Survey Readiness/Preparedness Book and oversee all document preparation related to state and federal inspections.
¿ Ensure compliance with HIPAA, CMS, VA, and New Mexico Department of Health regulations related to documentation, patient privacy, and medical records retention.
¿ Collaborate with the QA/PI Committee to ensure accurate tracking, quality documentation, and regulatory readiness.
¿ Conduct internal audits and implement corrective actions to improve record accuracy and performance.
¿ Manage medical staff and contractor credentialing processes and maintain up-to-date credential files.
¿ Oversee the effective use of the PointClickCare (PCC) system; ensure data accuracy and train staff as needed.
¿ Participate in Triple Check and Skilled Nursing Facility (SNF) meetings to ensure billing accuracy and support interdisciplinary care coordination.
¿ Train physicians, attorneys, contractors, and facility staff in documentation standards, compliance policies, and the use of PCC or related systems.
¿ Serve as a point of contact for legal requests, audits, and external inquiries regarding medical records.
¿ Develop and maintain departmental policies and procedures that align with the mission and regulatory obligations of NMSVH.
¿ Maintain a high level of professionalism and confidentiality in all interactions and documentation processes.

The primary customer are the brave men and women that answered our nations call, executed their duties and now are unable to live in their respective communities due to failing health. This job will also support the widows of the service men and women to include parents that have lost children in combat (Gold Star Parents)
Ideal Candidate
¿ Certification in Health Information Management (e.g., RHIT, RHIA)
¿ Experience working under New Mexico Department of Health regulations or state-operated healthcare systems
¿ Familiarity with long-term care documentation standards specific to veterans' services
¿ Proficiency in electronic health records, data privacy, and audit response systems
¿ Experience working in a Veterans Home or Veterans Affairs healthcare facility is required
¿ One of the following:
¿ 3 years in Health Information Management in Long-Term Care plus 1 year in a hospital setting; OR
¿ 4 years in Health Information Management in Long-Term Care
¿ 3 years of experience with PointClickCare (PCC)
¿ 3 years of experience preparing for and responding to VA and CMS surveys
¿ 3 years of experience managing a Survey Readiness/Preparedness Book
¿ 3 years of experience/knowledge of CMS and VA regulations and audits

Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling one (1) year may substitute for the required experience.
