What are the responsibilities and job description for the Financial Aid Specialist position at New Mexico Junior College?
The Financial Aid Specialist shall report to the Director of Financial Aid. Duties and responsibilities include, but are not limited to, the following:
- Collects and/or reviews various financial aid applications and materials to determine completeness and eligibility for financial aid;
- Verifies and reconciles accuracy of documents and consistency of data, Federal tax returns, verification documents, and student information; performs data analysis to identify discrepancies in data; determines action for resolution;
- Requests additional information for incomplete or inconsistent applications needed to perform accurate needs analysis; processes applications according to Federal and other required guidelines or regulations; denies aid if ineligible; performs needs analysis calculations according to guidelines and determines eligibility and appropriate award donors, adjustment, changes and/or corrections;
- Answers questions, inquiries, or requests of students, parents, lenders, guarantee agencies, staff in person, in writing or by telephone regarding financial aid eligibility and awards; ensures all students receive high quality customer service as well as assists with resolution of student issues, inquiries, and problems;
- Processes documents, applications, letters and other forms; inputs information, changes, corrections, or new awards into database. Reviews, awards, and reconciles funding of scholarship and grant programs;
- Ensures seamless, consistent service to students and the campus from the point of inquiry through enrollment. This includes planning, implementing and monitoring the timely processing of financial aid in accordance with the Federal and/or State regulations and institutional policies;
- Prepares reports for specific financial aid programs;
- Assists with documentation processing of Federal financial aid programs including verification of files;
- Assists with other office functions as needed including participation in cross training of other department duties;
- May participate in the annual audit of student records and record retention requirements; participates in the planning and organization of the awarding process to ensure compliance, to maintain quality control of data (manual and automated), and to provide for accurate and timely processing of applications;
- Assists with supervision of student employees;
- May serve on various campus committees as assigned;
- Performs other duties as assigned or required;
- Nothing contained herein shall limit the President in assigning the employee to any of the various college activities for which he/she would be qualified in order to meet the needs of New Mexico Junior College.
- High school diploma or equivalent required, Associate’s degree preferred;
- Six (6) months experience working in a financial aid office; OR an equivalent combination of education, training, and experience.
