Position Overview:
The accounting specialist performs a variety of technical level accounting duties in support of the financial accounting function and the Finance Division.
ESSENTIAL FUNCTIONS:
Function: Accounts Payable % Time: 60% Frequency: Daily
1. Compare posted entries and purchase orders with vendor invoices and statements to verify accuracy; reconcile discrepancies.
2. Inputs accounts payable transactions into Great Plains Dynamics software.
3. Prepares and reconciles NM State tax deposits (TAP) and reports for review and approval by the Director of Finance prior to filing.
4. Prepares and reconciles Federal tax deposits for 945 and 1042 and reports for review and approval by the Director of Finance prior to filing.
5. Reconciles activity for credit cards to expense reports. Resolves disputed amounts.
6. Assists other accountants in the preparation and review of the year-end 1099’s for vendors and retailers and prepares for the closing of the calendar year and fiscal year payables activity in the accounting software. Obtains W-9 from new vendors.
7. Provides Non-Taxable Transaction Certificates (NTTC’s) for vendors, as needed.
8. Provides requested accounts payable documentation to external auditors during fiscal year-end financial audit.
9. Manages and maintains the Certificate of Liability Insurances for vendors who perform services on New Mexico Lottery Authority (NMLA) property.
10. Prepares bank deposits, cash count, and maintain Claim check stock.
Function: Disbursements % Time: 20% Frequency: Weekly
1. Processes weekly check run for disbursements to vendors, contractors and other due payments.
2. Processes weekly wire payments to appropriate vendors.
Function: General Accounting Duties % Time: 20% Frequency: Monthly
1. Gathers, collates, processes, verifies, reconciles and prepares for review and/or approval, general accounting data and information as assigned.
2. Maintains records, logs, journals, files and other accounting information, both manually and electronically, to create transactional histories and audit trails.
3. Files and archives accounting documents, as needed.
Function: Other Duties as Assigned. % Time: 5% Frequency: As needed.
1. Assists with miscellaneous duties as requested.
Minimum Qualifications:
- Education: High school education or equivalency is required; some post-high school formal education in business, commercial or accounting course work is preferred; however, a combination of education and past relevant work experience wherein the skills and abilities to perform the position’s duties and accountabilities have been adequately demonstrated is acceptable. Incumbent must possess a combination of sufficient prior work experience and/or formal education to reasonably ensure ability to perform the position’s duties.
- Knowledge and Skills required:
- A general-level knowledge of accounting practices and principles.
- A well-developed knowledge of internal policies, procedures, and processes related to the accounting function.
- Working knowledge of Microsoft Office Suite, including Excel, Word, and Outlook.
- Adequately developed numerical, analytical, and general accounting skills are required.
- Skill in proficient use of MIS and computer systems and processes is essential.
