PRIMARY FUNCTION OF THE POSITION
Under the supervision of the Office Manager, the Administrative Assistant – Operations will lead lunch duty supervision, bus dismissal processes and be the main point of contact for the school and all staff during evenings. Additionally, he/she will provide assistance, coordination, and support to the entire front office, including Operations, HR, and Health Office as needed. The Administrative Assistant – Operations will be doing the clerical and administrative day-to-day work that supports and advance each department as it relates to internal and external support. He/she will be supporting multiple units and must be able to multi-task in a face-paced environment understanding urgency in project assignments.
The Administrative Assistant – Operations must be bilingual in English and Hmong and have the ability to demonstrate a strong work ethic, have integrity, and is accountable for his/her actions. He/she will align himself/herself with NMA’s core principles and understands the unique challenges of an immigrant and refugee community. A successful Administrative Assistant – Operations will also have experience in a high-performing fast-paced environment.
POSITION SPECIFICATIONS
Arrival and Dismissal Supervision
- Oversee other staff members during arrival and bus dismissal
- Ensure the safety and health of scholars during arrival and bus dismissal
- Supervise scholars to ensure scholars practice the RHINO Way
Customer Service & Front Desk
- Manage the operations of the entire front desk including greeting and screening visitors and phone calls
- Provide exceptional customer experience when at NMA
- Ensure all checking in/out are followed through and reconciled at the end of the day
- Work with teachers and families on children pick-up/drop-off and communicate to families accordingly
- Ensure students seeking assistance in the office receive the necessary service and/or ensure their safe return to class when appropriate
- Support transportation with issues pertaining to PM scholar drop-offs
- Complete any and all paperwork as assigned
Administrative and Clerical Duties
- Ensure printers, copiers, office supplies, equipment, and systems are in working conditions for teachers and staff to use
- Ensure printers and copiers are filled with copier papers
- Fulfill classroom supply requests
- Support the Administrative Assistant with replenishing supplies
- Provide clerical support such as filing, faxing, scanning, copying, and filing to the entire front office
- Monitor hallways, school buildings, during and after school
- Supervise any students while in the office and offering a friendly and caring office environment
- Support all front office staff in any and all clerical, administrative, and support duties as assigned
Office Support
- Provide backup support to the front office including front desk, transportation, and health office as needed
- Provide support to HR and operations as needed
- Provide quality customer service to parents, families, and scholars
Salary : $16 - $20
