Job Title: Administrative/Accounting Specialist
Program: Path to Home and Supportive Housing Program
Reports to: Executive Director
FSA Status: Non-Exempt
Classification: Part Time, three days per week, but very occasional weekends/evenings. Must work with flexibility.
Organizational Summary:
New Pathways provides shelter and resources for families with children experiencing homelessness and develops case plans that promote families moving towards self-sufficiency. New Pathways partners with area churches and housing management agencies so families have a safe place to live while working with staff.
Job Summary:
Provide administrative support to the Executive Director. Responsible for financial reconciliation, data entry, accounts payable, payroll and preparation of reports for the Board of Directors.
Principle Duties and Responsibilities:
Financial (50%)
- Maintain financial records.
- Data entry of monthly receipts and accounts payable into QuickBooks.
- Reconcile all bank accounts.
- Preparation and data entry of payroll including ADP submission.
- Assist with budget preparation and entry into QuickBooks
- Prepare financial reports for the Executive Board.
- Prepare for and participate in financial audits and reviews.
- Prepare and submit county billing reports
- Manage accounts payable and receivable
Administrative (50%)
- Administrative support to the Executive Director.
- Ensure permanent records are properly stored and accessible.
- Assist with routine correspondence with vendors and partner organizations.
- Compile, store, retrieve and report organizational data as needed.
- Maintain and file agency documents.
- Coordinate mailings. Assist with printing, folding, addressing and stamping envelopes.
- Administrative support for fundraising events.
- Oversee office equipment maintenance.
- Track employee sick and vacation time.
- Maintain personnel files for all employees.
- Ensure labor law postings are in compliance
- Assist with Human Resources
- Ensure the agency’s Policy and Procedures are updated
Other Occasional Duties
Direct Service Support
- Transport clients
- Backup for day center coverage
Other duties may be deemed necessary and assigned by the Executive Director.
Qualifications:
· Associate Degree, preferred
· One-year experience (minimum) doing similar work
· Good oral and written communication skills.
· Ability to work alone and as part of a team.
· Good problem-solving skills.
· Valid Driver’s license and auto insurance.
· Proficient in Office 365 (Excel, Word, Outlook), and QuickBooks.
· Experience with a donor management database is a plus.
Physical Demands of Position:
Must be able to occasionally ascend/descend stairs up to three or more sets, frequently move equipment weighing up to 30 lbs.; must be able to remain in a stationary position 50% of the time.

Pay: $20.00 - $23.00 per hour
