JOB SUMMARY: Reporting to the Program Director/Assistant Director, the Office Assistant will support staff in all administrative and clerical functions of the NS Young Adult Opportunity Initiative while working closely with young adults ages 17-24 years old. The Office Assistant provides administrative support to the Program Director and Assistant Director, data entry, photocopies, maintains filing system, maintenance of office space, outreach, data, creating an environment of inclusivity and positivity. This role entails being comfortable sitting in front of the office greeting participants, guests, and fellow employees.

Job Duties Include But Not Limited To
- Manage program space, assist with correspondence, filing, phone answering, copying, and scanning.
- Assists in trouble shooting and contacting sources for technical support and maintenance.
- Receives and distributes incoming mail and packages. Picks up mail at the main office’s mailbox.
- Manages office supplies inventory. Ensures all necessary office supplies are stocked.
- Provide intake and orientation functions to assist participants to connecting to the services of YAOI.
- Provides program information, capture documents and track applicants in the enrollment pipeline as well as conducts intake interviews and verify student eligibility.
- Conducts outreach and program marketing as needed.
- Assists with the planning and coordination of special events for program alumni and community partners.
- Oversees and maintains alumni database.
- Maintain participant activity attendance and update any records in Salesforce for program reports.
- Provide routine information to public or refer them to proper resources of information.
- Perform other duties as assigned.
Q UALIFICATIONS & EXPERIENCE :
- 2 years of related experience.
- Excellent interpersonal, organizational, multi-tasking, time management, and communication skills required.
- Must have a commitment to work from a strength-based and/or youth development perspective.
- Must possess the ability to maintain confidentiality and use appropriate discretion.
- Strong computer skills.
- Must be cleared and maintain clearance throughout duration of employment by NYC DOE fingerprinting.
