Job Summary

  • Performs varied support services requiring general office and organizational skills with acquired knowledge of company operations.
  • Supports staff by contributing to office operations and productivity.
  • Greets and assists visitors. Provides appropriate information and/or refers to appropriate person. Performs clerical tasks, as assigned, including but not limited to, filing, making phone calls, completing forms and data entry. Assists in the organization and administration of company objectives and policies.
  • Office entry position with training, support and an opportunity for growth.
  • Orders office supplies and services.

General Accountabilities

  • Assists in preparing and processing correspondence, reports, and other documents.
  • Types or word processes forms and documents of varying length and content.
  • Enter and retrieves computerized data.
  • Processes printed documents.
  • Totals, verifies and posts financial information/record(s).
  • Prepares and issues receipts and other related documents as assigned.
  • Greets visitors and ascertains name and other pertinent information. Notifies appropriate employee of visitor's arrival. Keeping visitor in the lobby until they can be helped by the appropriate person.
  • Answers telephone(s). Determining if assistant can help caller or needs to be routed to another person. Routes calls for employees as appropriate.
  • Takes and conveys messages.
  • Maintains files, logs and other records.
  • Retrieves and processes mail daily. Opens all mail that is not confidential. Sorts and delivers mail as appropriate.
  • Accepts and signs for packages addressed to company. Delivers package(s) to addressee or notifies addressee of package arrival.
  • Sends and distributes FAX messages.
  • Monitors inventory and orders company supplies with management approval.
  • Runs company errands as necessary.
  • Operates and assists others in operation of office machines, such as: computer, printer, calculator, dater, photocopier, FAX machine, telephone, postage meter, scales, etc.
  • Performs minor maintenance, e.g., replaces toner, reloads paper and troubleshoots minor problems. Calls and schedules required maintenance with copier leasing company.
  • Assures that reception area is clean and orderly.
  • Assures that break room/lunch area is clean and orderly (set up/stocked for daily operation, dishes clean, etc.)
  • Performs other related duties as assigned or requested.

Job Qualifications

  • Minimum Education: High School or equivalent Combined experience/education as substitute for minimum education
  • General office experience desired in the following: data entry, typing/word processing, filing, & basic math skills for assigned business tasks. Ability to operate varied office equipment.
  • Minimum Requirements: Quick learner with desire to assist staff and company continued success.

Comment

  • Will utilize a working knowledge of unit or department systems and procedures to carry out assignments.
  • Will create, update, and maintain written procedures for responsibilities and projects as assigned.
  • Works under direct supervision.

Job Type: Full-time

Pay: From $17.00 per hour

Expected hours: 40 per week
