What are the responsibilities and job description for the Clerical Associate position at New York City Department of Transportation?
Responsible for assignments that are associated with Roadway Repair and Maintenance (RRM) Administration - Personnel unit. RRM Administration is responsible for personnel matters of approximately 1,400 employees, mostly laborers. Duties include, but not limited to : Perform moderately difficult data entry and retrieval utilizing MS Excel and Access. prepare typed forms and letters utilizing MS Word, prepare Word or PDF version for electronic storage. Create and organize various spreadsheets including large scale, detailed data comparison and analysis. Prepare communications of those analysis through tables, summaries, and other reports. Type letters, memos, and transfer forms. Monitor submission of time sensitive documents. Utilize employee roster database. Communicate effectively with operational field staff to ensure employee compliance with various personnel requirements. Document and follow up with field locations to ensure deadlines are met, including sign sheets and other required verifications. Assist with distribution of pertinent information, notices, and flyers, and promotional goods to field locations.
Utilize MS PowerPoint for assisting with presentations and manuals. Provide auxiliary telephone coverage and auxiliary meeting room management. Conduct research involving electronic (various databases) and paper records. Make calls to solicit documents, perform timely filing of paper documents; operate copier, scanner, and fax-machine.
Selected candidate will assist fellow co-workers with additional miscellaneous clerical duties as needed such as printing, copying, responding to telephone inquiries.

Minimum Qualifications
Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
Preferred Skills
Excellent multi-tasking skills, necessary to prioritize high volume of work in a fast-paced office environment.Ability to work in teams and collaborate with supervision to prioritize work.Very proficient in MS Suite particularly MS Excel, Word, and Outlook.Candidate should be available to work flexible hours when needed.
