What are the responsibilities and job description for the Administrative Coordinator position at New York Public Welfare Association?
Qualifications: Sharp, enthusiastic, computer savvy individual with strong organizational skills and
communication capabilities. Excell in responding to member inquiries, providing information to social services districts, assisting in planning conferences, coordinating monthly meetings, preparing membership directory,
managing website and providing administrative support for public policy activities. Bachelor’s degree preferred.
Full-time position. Function under the supervision of the Executive Director. Perform other duties as required.
A. Member Communications
1. Manage incoming calls, email, & mail and serve as a professional point of contact for social
services administrators and others seeking information and assistance.
2. Produce annual membership directory and organize internal distribution.
3. Provide administrative support for public policy activities, such as, enhancing design and
distribution of position papers, legislative materials and summarizing membership surveys
4. Manage membership renewal process and produce monthly status reports
B. Office Administration
1. Utilize Word, Access, Excel, Adobe Acrobat, Quark, Internet & Web to perform responsibilities.
2. Update website to keep it current with policy papers, conference material, news, & information.
3. Maintain office equipment/supplies and serve as contact with internet network & website host.
4. Prepare invoices, process incoming checks, prepare dues and registration reports.
C. Event Planning
1. Organize fiscal and legal committee meetings and monthly commissioner meetings:
e-mail agendas and meeting summaries, confirm state agency participants, serve as staff support to association committees and assist with meeting site arrangements.
2. Provide support for training events for commissioners and other local DSS administrators.
3. Assist Membership Director with the preparation, coordination, and editing of materials for Association conferences.
4. Responsible for registration/information desk at meetings & conferences, supervise registration volunteers, serve in a public relations capacity as a liaison to guests, presenters and exhibitors.

Pay: $40,000.00 - $45,000.00 per year
