The Research Foundation for Mental Hygiene is seeking a qualified Human Resources Administrative Assistant who will contribute to the overall functioning of the New York State Psychiatric Institute Human Resources Department full-time position of Human Resources Administrative Assistant within the New York State Human Resources Department at the NYS OMH New York State Psychiatric Institute (NYSPI).
Duties and Responsibilities:
- Greets all office guests and determines nature of business, forwards/directs to appropriate HR staff members
- Answers phone lines, reviews voicemails and HR email account
- Receives, picks up, opens, sorts, date stamps, and distributes mail as goods and materials. Scans, fax and/or photocopies
- documents and verifies accuracy of data
- Maintains accurate and up-to-date human resource files, records, and documentation
- Answers frequently asked questions from applicants, employees, supervisors and other Agencies relative to standard policies and
- procedures, hiring processes, transactions and other activities
- Maintains the integrity and confidentiality of Human Resource files and records
- Assists in full-cycle recruitment for the institute
- Assists in gathering or compiling data for reports, graphs, charts, tables, or other products. Enters data into various systems.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and both paper and electronic are filed appropriately
- Provides clerical support to the HR Department; schedule meetings, maintain calendar, prepare mailings, documents and record receipt of items needing tracking
- Assists with payroll functions including processing new hires, answering employee questions, and fixing processing errors
- Maintains office supply inventory, all inventory counts, ordering, and ensuring the supply room/closet is clean and orderly
- Performs other duties as necessary
Minimum Qualifications:
- High School Diploma, (1) year of general administrative experience.
Preferred Qualifications:
- (6) months of Microsoft Office suite and scheduling experience.
