ACCOUNTS PAYABLE SPECIALIST
Newmeyer Dillion, a regional firm, is a multi-service law firm that provides both litigation and transactional representation. The Firm has gained national recognition for its construction and insurance work, and we provide representation in a comprehensive range of practice areas and industries. This position will be based out of the firm's Newport Beach office.
Essential Duties and Responsibilities include, but are not limited to :
- Reviews all invoices for appropriate documentation and approval prior to payment.
- Codes and enters all approved invoices into firm accounting system.
- Prints and obtains signatures on accounts payable checks, as required.
- Distributes signed checks as required.
- Communicates regularly with all offices to insure timely receipt and payment of all invoices.
- Utilizes computerized accounting, billing, payables and financial software programs to generate reports and complete accounts payable processing.
Responds to vendor inquiries.
Maintains accounts payable reports, spreadsheets and accounts payable files.Assembles and processes overnight shipments to branches.Prepares reconciliations of vendor statements, as required.Performs filing, scanning and copying.Assists with the annual 1099 process.Reconciles processed work by verifying entries and comparing system reports to balances.Maintain departmental records in accordance with policies and procedures and submit all required paperwork and inventory reports accurately and on time.Annually prepares files for off-site storage.Assists Controller with projects as necessary.Contributes to team effort.Performs filing, scanning and copying.Education / Experience Requirements :
Undergraduate degree in related field of accounting, finance or equivalent is preferred.Minimum of five years of progressively responsible related work experience necessary in order to gain the expertise needed to manage complex financial and banking relationships in a professional services firm.Law firm experience is a plus.Knowledge, Skills and Abilities :
Exceptional knowledge of MS Excel is beneficial.Knowledge of and comfortability with Aderant and Chrome River software is preferred.Full understanding of the entire accounts payable process in order to complete the duties and responsibilities in a timely manner.Ability to identify and resolve problems in a timely manner and gather / analyze information skillfully.Strong analytical, organizational, and Interpersonal skills, and ability to take direction as necessary.Excellent customer service skills to manage difficult client (both internal and external) situations, respond promptly to customer needs, solicit customer feedback to improve service, respond to requests for service and assistance and meet commitments.Ability to demonstrate accuracy and thoroughness, monitor own work to ensure quality and apply feedback to improve performance.Ability to maintain productivity standards and complete work in a timely manner.Ability to adapt to changes in the work environment, manage competing demands and deal with frequent change, delays or unexpected events.Dependability in terms of punctuality, attendance, ability to follow instructions, respond to management direction and solicit feedback to improve performance.Knowledge of accounting and financial management principles in order to assume responsibilities.Ability to concentrate and pay close attention to detail.Ability to identify and analyze issues and problems and to recommend and implement solutions.Physical Environment and Working Conditions :
