Newport Vision Center is seeking a highly organized and detail-oriented Office Manager to oversee the daily operations of our vision care practice. The Office Manager will be responsible for ensuring the office runs smoothly, efficiently, and professionally while providing excellent service to patients. This role requires strong leadership, problem-solving skills, and the ability to manage administrative and operational tasks.
Key Responsibilities:
Office Operations & Administration
- Oversee daily office operations to ensure efficiency and productivity.
- Maintain office policies, procedures, and compliance with industry regulations.
- Manage office supplies, equipment maintenance, and vendor relationships.
- Ensure patient records are properly maintained, secured, and compliant with HIPAA regulations.
Staff Management & Leadership
- Supervise and support front desk and administrative staff.
- Schedule and coordinate staff shifts to ensure adequate coverage.
- Conduct training sessions for staff on office procedures and customer service.
- Foster a positive and professional work environment.
- Open and close the office before and after business hours, ensuring security and readiness for the day.
Financial & Billing Management
- Assist with payroll processing, invoicing, and financial reporting.
- Work with insurance companies to ensure accurate billing and reimbursements.
- Work with billing/patients on minimizing accounts receivables
- Monitor office expenses and manage budgets.
Customer Service & Patient Relations
- Ensure a welcoming and professional environment for patients.
- Address and resolve patient inquiries, complaints, and concerns.
- Improve patient satisfaction by enhancing the overall experience at Newport Vision Center.
Scheduling & Coordination
- Manage appointment scheduling to optimize patient flow and doctor availability.
- Coordinate with optometrists, technicians, and other staff to ensure seamless operations.
- Oversee reminders, confirmations, and follow-up communications with patients.
Qualifications & Skills:
- Previous experience in office management, preferably in a medical or vision care setting.
- Strong leadership and organizational skills.
- Knowledge of medical billing, insurance processing, and financial management.
- Proficiency in office software (Microsoft Office, practice management software, EHR systems).
- Excellent communication and customer service skills.
- Ability to multitask and work in a fast-paced environment.
- Knowledge of HIPAA compliance and healthcare regulations is a plus.
