PRIMARY PURPOSE:?

The Administrative Assistant for the Human Resources Department provides essential support to the HR team by managing administrative tasks, maintaining employee records, coordinating communication, and assisting with recruitment, onboarding, and compliance processes. This role ensures the efficient operation of HR functions by handling scheduling, document management, and responding to employee inquiries. Additionally, the administrative assistant supports HR initiatives while maintaining confidentiality and professionalism in all interactions.

MINIMUM QUALIFICATIONS:?
- High school diploma or equivalent. Associate’s degree or higher is preferred.
- Three (3) to five (5) years of office experience providing administrative, clerical and customer service support.
- Proficient in business English, spelling, mathematics, and office practices.
- The ability to work professionally with the public and others, both in person and over the phone.
- Excellent interpersonal and communication skills suitable for interfacing individuals at all levels of the school system, as well as the general public.
- Excellent computer skills proficient in Microsoft Office suite, including Microsoft Word and Excel.

DESCRIPTION OF DUTIES:?
- Greets visitors professionally to assist and direct individuals to the appropriate staff member.
- Receives and screens departmental calls; answers the telephone, takes/distributes messages, and transfers calls as needed.
- Maintains the lobby area, to include establishing a records and information tracking system to intake fingerprinting, certification, and verification paperwork as needed to monitor requests and provide updates upon request.
- Performs general clerical duties such as composing and typing routine correspondence, creating and typing reports, and data entry.
- Proofs, edits, and prepares general correspondence, memoranda, letters, reports and other documents as requested.
- Builds, creates, and updates charts and other reports as needed to maintain data and complete special projects.
- Creates and maintains department files with accuracy and confidentiality; routes and/or stores files as directed and needed.
- Assists with filing and maintaining personnel files as necessary to oversee the file room.
- Maintains all bookkeeping records, budget items, submits all purchase orders, and ensures that department budget and expenditures are submitted in a timely manner.
- Provides general office support related to ordering and maintaining office supplies as needed to ensure an efficient office and orderly workspace.
- Provides assistance to internal and external customers and delivers information in a pleasant, professional, and courteous manner in order to provide high quality customer service.
- Provides additional support to the Director of Human Resources and serves as a back-up for fingerprinting, substitute, FMLA, and application/records software systems.
- Schedules and arranges appointments, meetings, and conferences as requested.
- Attends and participates in approved training sessions, professional development activities, and required meetings as assigned.
- Is present at work every day, on time, and performs all duties as assigned effectively and efficiently.
- Professional appearance befitting the job they provide the school system.
- Shall always exhibit a professional attitude and demeanor in dealing with the board, school administration, fellow employees, parents, students, and the public.
- Contributes to an atmosphere of harmony and goodwill in the workplace.
- Performs other duties, as assigned/needed, for the purpose of ensuring the efficient and effective functioning of the work unit. These duties are assigned by supervisor/administrator.
