We are seeking a highly organized and detail-oriented Office Administrator to join our team. This role is essential in ensuring the smooth operation of our office, providing excellent front desk coverage, and efficiently processing orders. The ideal candidate will be proactive, customer-focused, and a self-starter. This position is located in-office, full time, at our Providence location.
Description
Front Desk & Administrative Support:
- Serve as the first point of contact for visitors, clients, and employees at the front desk.
- Maintain a clean and organized reception area.
- Handle incoming and outgoing mail, packages, and deliveries.
- Support management with administrative tasks.
- Ensure office equipment is in working order and coordinate maintenance as required.
Order Processing & Customer Support:
- Process customer orders accurately and efficiently using NetSuite.
- Verify order details and ensure proper documentation.
- Collaborate with accounting and warehouse teams to ensure orders are fulfilled and accurately tracked from order entry through invoicing.
- Communicate order statuses and resolve any discrepancies or issues.
Required Skills/Abilities:
- Customer service-oriented with a friendly and professional demeanor.
- Strong communication skills to build positive relationships with customers and internal team.
- Ability to work independently as well as part of a team.
- Excellent attention to detail and accuracy in data entry.
- Strong organizational and time-management skills to manage multiple priorities and tasks simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Uphold the highest standards of confidentiality in handling sensitive company, customer, and employee information.
- Comfortable working in a fast-paced environment with tight deadlines.
- Familiarity with NetSuite is a plus.
Education and Experience:
- High School Diploma.
- Experience with administrative and clerical tasks in a corporate environment.
- Proven experience as an order entry specialist or similar position with experience in customer. service or related fields.
