What are the responsibilities and job description for the Dispatch and Logistics Administrator position at Nextech Energy Systems, LLC?
Position Summary: Contribute to Nextech’s daily business operations, key marketing objectives, and sales production goals by providing logistical, sales & marketing, and administrative support to senior management.
Key Duties & Responsibilities
Operational & Logistical Support:
- Coordinate dispatch services with Nextech’s field installers, customers, and contractors.
- Answer inbound phone calls and route accordingly.
- Organize, update, and maintain client and vendor information in the software database and shared drive for accurate quoting, consultation, order history, technical support, and account history.
Inventory & Vendor Relations:
- Assist in managing company inventory and fleet services.
- Understanding, generating, and managing Purchase Orders, Vendor Bills, Customer Invoices, Quote Conversions, E-commerce Sales Receipts, etc.
- Create reports for fleet & inventory management, budget planning, and expense summaries.
- Assist with the direct engagement and relationship development of Vendors and Suppliers.
Administrative Support:
- Administer essential department tasks including, but not limited to printing, labeling, assembling marketing and training materials, and calendar organization.
- Assist staff in optimizing and maintaining an orderly and efficient workspace.
- Perform other administrative duties supporting departments including legal, operations, and e-commerce.
Marketing and Event Support:
- Manage distribution lists for company newsletters, email templates, online promotions, etc.
- Social media posts and campaigns.
- Utilize design software & tools to create dynamic online and print marketing materials including sell sheets, promotional items, infographics, pitch decks, etc.
- Research, plan, and attend relevant Chicagoland industry events, trade shows, and networking opportunities.
Professional Knowledge & Skill Requirements:
- Strong computer and Internet navigation skills.
- Superior written and verbal communication skills.
- Knowledge of finance and accounting processes and techniques.
- Understanding and experience with reports and financial statements
- Proficiency in Intuit QuickBooks, Microsoft Office, and Adobe Acrobat is required. CRM database experience is a plus.
- Knowledge of the energy industry is a plus (but not a requirement).
- This opportunity may require limited local travel; having access to reliable transportation is a plus.
