Role Overview
We are seeking a highly analytical and detail-oriented Professional Services (PS) Operations Analyst to help drive operational excellence across our services organization. You will partner with Delivery, Sales, Customer Success, and Finance teams to improve visibility, efficiency, and scalability across our growing portfolio of data and AI engagements.
This role will be instrumental in supporting resource planning, project performance tracking, reporting, and process improvement initiatives that power world-class service delivery.
Key Responsibilities
Resource & Capacity Planning
- Support workforce planning and capacity models across geographies and roles
- Track billable vs. non-billable hours and surface utilization trends
- Maintain a resource allocation dashboard by pod, region, and skill
- Assist with proactive staffing recommendations based on pipeline
- Track project health metrics (e.g., burn rate, milestone status, profitability)
- Build reports and dashboards for weekly delivery cadences and QBRs
- Help measure time-to-value, project overruns, and client onboarding progress
- Monitor delivery KPIs and flag variances for review
- Reconcile timecards, budgets, and SOWs for accuracy and audit readiness
- Support revenue forecasting and margin analysis for PS leadership
- Assist with backlog tracking, invoicing readiness, and change order status
- Coordinate with Finance to ensure timely and accurate billing
- Document and improve internal delivery workflows and SOPs
- Support the rollout of PS playbooks and delivery templates
- Assist with change control processes and project close-out hygiene
- Recommend ways to standardize reporting and operational reviews
- Serve as the liaison between Delivery, Sales, Finance, and Customer Success
- Support delivery-related inputs for QBRs, renewals, and strategic accounts
- Ensure accurate project data in Salesforce, Smartsheet, Jira, or similar systems
- Help identify risk accounts through coordination with Customer Success
- Manage data quality for PSA and reporting tools (e.g., Smartsheet, Salesforce)
- Support automation of operational reports, reminders, and tracking
- Monitor and maintain systems used for time tracking, resourcing, and status updates
- Assist in developing KPIs and dashboards for new service offerings
- Track enablement status and onboarding for delivery hires or contractors
- Support modeling for global delivery footprint, partner utilization, and margin
- Contribute to special projects that scale the PS org’s operational capacity
Qualifications
- 3–5 years of experience in PS operations, business analysis, PMO, or delivery ops
- Strong analytical skills with experience in Excel/Google Sheets, BI tools, or SQL
- Hands-on experience with PSA tools, Salesforce, Smartsheet, Jira, or similar platforms
- Understanding of services KPIs (utilization, margin, TTV, CSAT, etc.)
- Strong organizational, problem-solving, and communication skills
- Experience in a services, SaaS, consulting, or tech delivery environment preferred
- Bachelor’s degree in business, Operations, Engineering, or related field
