Nexus Indian-Oaks is looking to add a Receptionist to our fantastic team!
Our Receptionist will greet visitors, answer incoming calls, assist visitors, and provide a variety of clerical support to the Agency while fostering an inviting and professional environment for agency staff, visitors, youth, and family.
Nexus-Indian Oaks is part of Nexus Family Healing, a national nonprofit network of mental health agencies providing innovative, customized help for children and families struggling with emotional, behavioral, and mental health issues often stemming from significant levels of childhood trauma.
Primary responsibilities:
Answer Incoming Calls
- Receives and answers all incoming calls with poise, professionalism emulating Nexus’ ICARE values.
- Actively listens to each caller and discerns their needs, directing each caller to the appropriate individual or program with the intent to connect the caller with the right person the first time.
- Documents accurate messages when the recipient is not available; captures pertinent information, anticipating the message recipient’s potential questions surrounding the caller’s purpose.
- Maintains accurate contact lists including but not limited to cellular and pager list and active staff roster and contact information while maintaining confidentiality.
- Notifies vendor when the phone system is inoperative; communicates the repair timeline and interim call/messaging process to agency staff, ensuring seamless communication.
Welcomes & Escorts Visitors
- Welcomes and greets all visitors who enter the Agency with a positive, poised, and professional demeanor; emulates Nexus’ ICARE values in all interactions and conversations.
- Directs and instructs visitors to the appropriate program, person or waiting area with intention.
- Maintains a welcoming, clean, and presentable lobby and entryway area; proactively notifies facilities/maintenance of any lighting, electrical or security areas of opportunity.
- Provides indirect supervision for children in the lobby ensuring safety for the Agency.
Administrative Support
- Ensures office equipment is in working order including computers, fax machine, photo copier, printer, and phone system; works to resolve inoperative equipment or contacts vendor as needed.
- Works to ensure an organized and streamlined mail system; sorts and distributes mail and incoming faxes; coordinates USPS, express or certified mail and assists in bulk mailings as needed.
- Provides copying, data entry and clerical support to programs while maintaining regular duties.
- Partners with Agency leadership to facilitate conference room and meeting schedules.
- Maintains Agency and facility vehicle schedules and tracks mileage and gas depending upon the agency.
- Proactively anticipates office supply needs and orders supplies prior to running out.
Compliance & Confidentiality
- Acknowledges, understands, and maintains the integrity and confidentiality of all Agency employees, youth and family when working with confidential information.
- Attends and participates in staff meetings, trainings and special projects as assigned; understands and supports Nexus’ philosophy and treatment modalities.
- Understands and abides by Nexus policy and procedure and HIPAA and COA guidelines as it relates to performing all work and interacting with Agency staff, family, and youth.
Required Education and Licensure:
- High School Diploma
- 1 Year Receptionist and/or clerical front desk
- Required to work one or two evenings weekly
- Valid driver’s license required. Must meet state regulating agency and Home Office driving requirements
Preferred Education and Experience:
- 2 Years experience working as a receptionist and/or in a clerical/front desk capacity
- Experience working with the public
- Experience working with Children & Families
Work Schedule & Salary:
- Full-time position; on-site work required
- Our operating hours are Monday through Friday, from 8:00 AM to 4:30 PM
- Pay Range: $17.00 - $19.00 per hour
