Job Summary:
Night Owl Electric LLC is seeking a detail-oriented and organized Administrative Coordinator to support our financial operations and administrative processes. This role will be responsible for managing accounts receivable and payable, processing service tickets, maintaining compliance records, setting up new jobs, and ensuring smooth administrative operations. The ideal candidate will be proactive, efficient, and capable of managing multiple tasks while providing excellent customer service.
Key Responsibilities:
Accounts Receivable (AR):
- Generate and send invoices to clients in a timely manner.
- Process and record incoming payments.
- Monitor past-due accounts and follow up with clients to ensure prompt payment.
- Provide reports and inquiries on outstanding balances.
Accounts Payable (AP):
- Enter and process vendor bills and credit card receipts.
- Reconcile credit card statements to ensure accuracy.
- Maintain accurate and up-to-date financial records.
Service Ticket Management:
- Enter, bill, and file all service tickets.
- Maintain the service board and track the status of ongoing service jobs.
Compliance & Job Setup:
- Utilize compliance portals to ensure all client requirements are met.
- Set up new jobs in company systems and ensure all necessary documentation is completed.
Administrative Support:
- Send out weekly updates to relevant teams and stakeholders.
- Maintain an organized filing system for new jobs, open invoices, closed invoices, and paid bills.
- Answer and direct phone calls professionally, assisting customers and vendors as needed.
Qualifications & Skills:
- Experience in accounts receivable and accounts payable processes.
- Strong attention to detail and organizational skills.
- Ability to handle multiple tasks efficiently and meet deadlines.
- Proficiency in accounting software and Microsoft Office Suite (Excel, Word, Outlook).
- Excellent communication and customer service skills.
- Experience with compliance portals and job tracking systems is a plus.
