As the first point of contact for our customers and vendors, the Administrative Coordinator plays a vital role in both our sales process and daily office operations. This position will be based at the front desk, managing inbound communications, supporting our outside sales team, and handling administrative duties related to sales, estimates, and order processing. This role is perfect for a detail-oriented, customer-focused professional who thrives in a fast-paced environment and enjoys wearing many hats in support of a growing team.
Our ideal candidate will:
Serve as the first point of contact for incoming phone calls, customers, vendors, and visitors, creating a positive and professional impression.
Support the outside sales team with lead generation activities, customer outreach, and maintaining accurate records in the CRM system.
Process Requests for Quotes (RFQs), work orders, warranty setups, and invoices with a high level of accuracy and attention to detail.
Manage front desk responsibilities, including answering phones, greeting visitors, and coordinating shipping and receiving inquiries.
Communicate proactively with internal teams to ensure the smooth flow of information and support throughout the sales process.
Stay organized and manage multiple priorities in a fast-paced environment, while maintaining excellent customer service and professionalism.
Desired Qualifications
Degree in Business Administration, Marketing or Communications is preferred, but will consider given relevant employment experience
Energetic and outgoing personality
Proficient with CRM systems (such as Salesforce, Pipedrive, etc…) and Google Workspace.
The ability to excel in a fast-paced, competitive environment
Organized with attention to detail
Strong interpersonal skills and the ability to maintain professionalism in the workplace
