Objective: As an Intake Coordinator at our home health agency, your primary responsibility will be to verify insurance benefits, retrieve authorization of insurance, coordinate care, contract and schedule appointments for clients seeking our services. You will serve as the initial point of contact for potential clients and their families, guiding them through the intake process with professionalism and empathy. Your role is crucial in ensuring a smooth transition for clients into our care.
Primary Responsibilities:
Client Intake Process:
- Receive inquiries from potential clients and their families regarding home health services.
- With care and compassion, gather necessary information such as client demographics, medical history, and care needs.
- Retrieve insurance information, attain authorization for services
- Assess the urgency of the client's situation and prioritize appointments accordingly.
- Appointment Scheduling:
- Coordinate appointments between clients and our care providers, considering client preferences and availability.
- Utilize scheduling software or systems to manage appointments efficiently.
- Confirm appointments with clients and provide them with necessary information regarding the intake process.
- Communication and Follow-up:
- Communicate effectively with clients, caregivers, and other staff members to ensure seamless coordination of care.
- Follow up with clients to address any questions or concerns they may have about the intake process or our services.
- Document all correspondence in the software
- Maintain accurate records of client interactions and appointment schedules.
- Documentation and Compliance:
- Ensure all required documentation for the intake process is completed accurately and in a timely manner.
- Adhere to HIPAA regulations and maintain confidentiality of client information at all times.
- Collaborate with the administrative team to ensure compliance with agency policies and procedures.
- Customer Service:
- Provide exceptional customer service to clients and their families, demonstrating empathy, patience, and understanding.
- Serve as a knowledgeable resource for clients, offering information about our services and answering inquiries about the home care process.
Qualifications:
- High school diploma or equivalent; additional education or training in healthcare administration is preferred.
- Previous experience in a healthcare setting, preferably in scheduling or customer service roles is preferred.
- Previous inside sales experience is preferred.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both written and verbal.
- Proficiency in computer skills, including experience with scheduling software and Microsoft Office Suite.
