What are the responsibilities and job description for the Front Office Administrator position at Noble Intent LLC?
Noble Intent is looking for a capable and welcoming Front Office Administrative Assistant to work at our receptions area. In this role, your duties will include but are not limited to assisting the Owner, Office Manager, and other staff with administrative duties to keep the business operations running effectively and to optimize productivity of all employees at Noble Intent.
ACCOUNTABILITIES:
To ensure our commitment to excellence, the Front Office Administrative Assistant must possess experience in office administration and the ability to communicate effectively with staff, clients, and the general public.
Skills
- Greeting clients and/ or visitors in a friendly and professional manner and providing intake forms (if needed)
- Handling basic inquiries and sorting mail
- Answering incoming phone calls, as well as screening, forwarding calls, and checking voicemail daily.
- Input new client information into InSync (EHR)
- Scheduling appointments for clinicians
- Ensuring consistent communication with Office Manager, clinicians, and other Noble Intent employees
- Maintaining the office’s orderliness and keeping the receptions area tidy
- Proficient with using Microsoft software (Word, Excel, etc.) and Google software (Drive, Docs, Sheets, Gmail, Calendar)
- Printing, copying, scanning, faxing, and emailing documents requested from staff, clients, and other providers/agencies
- Sending release of information (ROI) forms to other providers/agencies
- Keep inventory of office supplies (every two weeks) and other additional supplies when needed
- Manage the Admin email account
- Ensuring that client files are in compliance with insurance requirements by completing a Q & A once a month.
- Using online document signature platform for intake forms or other documents needed by office and/or staff
QUALIFICATIONS:
- High School Diploma or GED
- Must be at least 21 years of age
- Able to pass background check
- Formal qualifications in office administration, secretarial work, or related training
- 2-3 years of experience in a similar role
- Exceptional ability to create a welcoming environment for clients and/ or visitors
- Have a valid driver’s license
