Location: Tonawanda, NY
Compensation: $22.00-$25.00/hr

The Administrative Assistant will be a key part of the organization. This position will maintain efficient operations and assist with various business activities.
We are looking for an individual who excels in prioritization, handles confidential information adeptly, and can seamlessly switch between tasks. If you are an organized and analytical thinker, an effective communicator, and a collaborative team player, this position is an ideal fit for you.
What You Will Do
  • Serve as a gatekeeper, managing correspondence, screening calls, and promptly responding to emails and voicemail messages.
  • Organize and participate in staff meetings, including distributing agendas, documenting minutes, and tracking action items.
  • Assists with order generation and rebate program.
  • Perform a wide variety of administrative and clerical duties including but not limited to: creating documents, preparing spreadsheets, assembling reports, processing incoming and outgoing mail, answering and returning phone calls, photocopying, faxing, filing
  • Schedule meetings, customer appointments and manage calendars.
  • Complete purchase orders, ensuring everything is invoiced and paid on time.
  • Vendor setup and management.
  • Maintain and update professional and personal contact databases.
  • Assist with general office tasks and other operational projects.

What You Will Need
  • AS Degree or higher education, or equivalent related experience
  • Minimum 2 years in administrative support position
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Team oriented
  • Proficient computer skills, word/excel

  • Proficient with Microsoft Office Suite or related software
