Position : Environmental Office Assistant - Part Time

Location : Tonawanda, NY

Compensation : $22-25 per hour

What We Are Looking For

The primary function of the Environmental Office Assistant is to perform a variety of administrative duties in order to assist in the general operation of the division while providing excellent customer service to both internal and external customers.

We are searching for a personable, energetic, hard-working, organized, self-starter to join our team. This position will complete a variety of billing, administrative, and office support responsibilities in a fast-paced environment.

What You Will Do

  • Provide excellent customer service to internal and external customers.
  • Serve as the primary contact for drivers and provide them with necessary updates and instructions. Maintain open lines of communication with customers regarding delivery schedules or changes.
  • Document dispatch activities, delivery logs, and driver reports, ensuring accurate and organized records.
  • Respond to customer inquiries and resolve issues related to scheduling or delivery in a professional and timely manner.
  • Maintain filing systems either manually or electronically.
  • Manage calendars and schedule appointments.
  • Process invoices, manage expense reports, and reconcile corporate credit cards. Track expenses, verify, reconcile and prepare reports.
  • Set up new vendors as needed with Corporate Purchasing.
  • Collaborate with other departments, including billing and purchasing, to ensure seamless operations.
  • Handle supply orders, including office supplies, cleaning and warehouse supplies, etc.
  • Be accessible "on call" after normal working hours.

What You Will Need

  • High school diploma or equivalent
  • Minimum 3 years office experience
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Proficient with Microsoft Office Suite or related software
  • Proficient with Microsoft Office Suite or related software
  • Able to sit for prolonged periods at a desk and work on a computer
  • Able to lift up to 10 pounds at times
