Job Summary:
The Contract Administrator is responsible for managing and overseeing contracts made with customers, vendors, partners, or employees. The Contract Administrator acts as a liaison between the organization and third parties, ensuring that contracts are processed, ordered, and are tracked for installation.
Key Responsibilities:
- Contract Preparation and Drafting:
- Draft, review, and negotiate contracts, including purchase agreements, service contracts, vendor contracts, and employment agreements.
- Ensure that all contracts comply with company policies, legal regulations, and industry standards.
- Contract Review and Analysis:
- Analyze contract terms and conditions to ensure the organization's interests are protected.
- Identify and mitigate potential risks associated with contract terms.
- Verify contract terms to ensure accuracy, completeness, and compliance with company standards.
- Contract Negotiation:
- Engage in negotiations with clients, vendors, and other third parties to ensure favorable contract terms.
- Work closely with legal counsel and relevant departments to ensure all contracts align with company policies.
- Contract Management and Administration:
- Maintain and organize all contract documentation, ensuring easy access and retrieval.
- Track contract milestones, renewal dates, deliverables, and payments.
- Ensure that all parties are meeting their contractual obligations and deadlines.
- Risk Management and Compliance:
- Monitor contract performance and compliance with terms and conditions.
- Ensure that contracts adhere to local, state, and federal laws and regulations.
- Report any contract breaches or disputes and assist in resolving them.
- Record Keeping and Documentation:
- Maintain accurate records of contracts, amendments, and communications.
- Update contract templates and standardize agreements as necessary.
- Ensure that contract files are complete and up-to-date.
- Stakeholder Communication:
- Serve as a point of contact between internal teams and external parties regarding contract-related matters.
- Communicate contract status, changes, or developments to relevant stakeholders.
- Collaborate with finance, procurement, and legal teams to ensure seamless contract management.
- Reporting and Analysis:
- Prepare periodic reports on contract status, performance, and compliance.
- Provide analysis and recommendations for improving contract management processes.
- Identify opportunities to streamline contract administration and reduce risks.
Qualifications and Skills:
- Bachelor’s degree in business administration
- Proven experience as a Contract Administrator, Contract Manager, or in a similar role.
- Strong understanding of contract law, legal terminology, and contract management practices.
- Excellent negotiation, communication, and interpersonal skills.
- Ability to work with high attention to detail and organizational skills.
- Strong analytical and problem-solving abilities.
- Proficiency in contract management software and Microsoft Office Suite.
- Ability to manage multiple contracts simultaneously and meet deadlines.
- Knowledge of regulatory and compliance requirements related to contracts.
Preferred Skills:
- Certification in Contract Management (e.g., Certified Professional Contract Manager - CPCM).
- Experience working in procurement
- Familiarity with legal regulations and contract laws applicable to the industry.
- Ability to resolve contract disputes and manage conflicts effectively.
Work Environment:
- Office-based with occasional travel for meetings, negotiations, or site visits.
