As the owner of the business, I’m looking for an energetic, organized, and efficient Executive Administrative Assistant to help manage a wide range of tasks. This is a key position where you will be at the heart of our operations, providing support directly to me and the rest of the team. Key Responsibilities:

  • Be the first point of contact for customers, both in-store and over the phone, providing a warm and professional experience.
  • Assist with managing shipping and receiving of parts, ensuring smooth and accurate processing.
  • Support travel arrangements for the owner and the team, including reservations and logistics.
  • Help with QuickBooks, including invoicing and entering data
  • Handle general office administrative tasks like scheduling appointments, managing meetings, and keeping the office organized.
  • Order office and store supplies, ensuring everything is stocked and ready for business operations.
  • Maintain office supply inventory and place orders as needed.
  • Help coordinate day-to-day operations and ensure seamless communication across the company.
  • Handle special projects and tasks that arise, providing executive-level assistance to the owner.

What We’re Looking For:

  • A professional, friendly, and approachable demeanor – you’ll be the face of the business to customers and team members.
  • Experience with QuickBooks or similar accounting software is a plus.
  • Strong organizational skills and the ability to multitask and prioritize effectively.
  • A positive, problem-solving attitude and ability to work with minimal supervision.
  • Excellent communication skills, both verbal and written.
  • Strong time-management skills with a knack for keeping things running smoothly.
  • High attention to detail and ability to handle sensitive information confidentially.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
