Job: Office Manager
Salary: $60,000 - $70,000 BOE
Location: Kingston, NY
Job Type: Permanent, Full Time
Schedule: Typically Monday - Friday 8am-4pm, some flexibility required for meetings
Responsibilities:
- Oversee, audit & update CRM software data input, compliance tasks, workflow etc. are being followed according to company standards.
- Work with Mitigation and Construction teams to facilitate job flow related to proper procedures, paperwork, documentation and compliance tasks.
- Work closely with the Administrative Assistant to assist in responsibilities.
- Assist Ownership and senior management in various tasks and responsibilities.
- Ensure employees & company files are kept up to date. To include licensing, training, record keeping, insurance, etc.
- Ensure company vehicles are kept in compliance.
- Answer phones, gather pertinent information and handle/transfer calls accordingly. Relay information to team.
- General office duties to include drafting correspondence, creating reports, auditing job files, updating documents, etc.
- Update & maintain office policies, procedures & filing systems.
- Ensure sub-contractors and vendors documentation are correct & kept up to date.
- Participate in daily team meetings with various departments.
- Act as the subject matter expert for all office related technology and processes.
Requirements:
- Strong leadership skills with experience in building and managing teams.
- Bachelor’s degree in human resources, Business Administration, or related field preferred.
- Minimum 5 years of experience in Management position related to Office, HR, Construction/Mitigation or Insurance related fields a must.
- Proficient in various office-related software programs including Excel, Word, QuickBooks, PowerPoint etc.
- Prior experience in Xactware, Symbility/CoreLogic and other industry specific software a plus.
- Highly organized with strong attention to detail and ability to multi-task.
- Strong analytical and problem-solving skills.
- Communication skills to include Customer service, staff relations, etc.
- Bilingual in Spanish/English a plus.
