The Manager of Mail and Print Services provides leadership and oversight for the daily operations of University Mail and Print Services. Responsibilities include budget management, marketing, intra-campus mail processes, central receiving and print production processes.

Required Education

  • Bachelor's Degree or equivalent work experience.

Required Experience

  • Three to five years of management experience, including employee development.
  • Three to five years of experience in print / copy production.
  • Working knowledge of digital large-format printing processes.
  • Three to five years of mailing experience is preferred.
  • Knowledge of postage meter processes.
  • Must have a valid California Drivers license.
  • Primary Duties / Essential Functions

  • Manages the daily operations of Mail and Print Services.
  • Advises and informs all personnel regarding policies, procedures, personnel issues and other matters pertaining to effective and efficient operations.
  • Provides direct supervision and training to Mail and Print Services staff.
  • Responsible for the coordination and delivery processes of all incoming, outgoing and intra-campus mail including packages and freight deliveries.
  • Maintains and manages all systems and technology used by Mail and Print Services.
  • Assists in the monitoring and managing of the department budget.
  • Assists Director with annual assessments of pricing, quality of services and best practices.
  • Oversees all money received, daily / weekly deposits, processing department invoices for payment, and keeping accurate records of income and expenses.
  • Establish and implement short-and long-range departmental goals, objectives, policies, and operating procedures.
  • Handles all payments, paperwork, and reconciliation of deposits in accordance with University procedures.
  • Conducts weekly meetings with staff.
  • Handles all aspects of staff management, including conducting interviews and orientations, overseeing training of new staff and cross-training existing staff, and maintaining staff scheduling.
  • Works with IMT, equipment vendors to keep computer graphics software and equipment operational and maintains computer security.
  • Oversees the daily production and assists production staff with jobs and communicates to ensure all deadlines and cost budgets are met.
  • Maintain a web-based workflow for clients.
  • Mentors staff through leadership development and continued educational opportunities.
  • Monitors and cultivates vendor relationships.
  • Develops and prepares bids and product reports for future equipment purchase.
  • Responsible for accuracy and implementation of all pricing.
  • Responsible for accuracy of website information, pricing and products.
  • Maintain security and confidentiality of material and information processed.
  • Operates POS, ensures quality control for completed orders, follows opening and closing procedures and accounts for sales.
  • Maintain and manage proper inventory levels including paper, toner / ink, and any other related materials need for daily production.
  • Ensure that equipment is being properly maintained and upgraded.
  • Maintains compliance with APU mission, vision, positional statements and other policies and procedures.
  • Responsible for daily electronic timekeeping as it applies to the scope of this position.
  • Regular, punctual attendance as required by the supervisor based on department needs.
  • Required to work varied work schedules to include evenings, weekends, and holidays in support of operational needs.
  • Performs other duties as assigned by the supervisor.
  • Skills

  • Ability to effectively supervise staff as a team as well as on an individual basis.
  • Must have good people skills, sense of urgency, eye for accuracy, and close attention to work order details.
  • Skilled in operation and maintenance of high volume digital xerographic network systems and bindery equipment.
  • Must be able to perform mathematical functions accurately.
  • Operate department vehicle, must possess a valid CA drivers license.
  • Knowledge and skilled in preparing spreadsheet tools, effective public relations, principles of office management.
  • Expert computer skills and knowledge of software programs including Microsoft Office, and Adobe Creative Cloud.
  • Ability to work independently, strong organizational skills, initiative, creativity, and a high level of production flexibility. Must be able to meet deadlines.
  • Knowledge of health and safety regulations in relation to the use of equipment and chemicals.
  • Must show sound, independent judgment.
  • Can work independently, is able to follow-through on assigned work.
  • Demonstrates the ability to prioritize work in order to meet deadlines while working in a service-oriented environment with frequently changing priorities.
  • Deal with customer problems in a professional manner.
  • Ability to work in a fast-paced environment.
  • Mental Demands

  • Must be physically able to perform all job functions.
  • Can effectively communicate both orally and in writing.
  • Is able to demonstrate computer literacy using Adobe Creative Cloud, Google Mail, Google Apps, Microsoft Excel, and Work.
  • Must have the ability to understand cost vs retail in the print production environment to ensure proper margins are being met for each order.
  • Must have the ability to establish and maintain working relations with supervisor, staff, colleagues, and students.
  • Must possess communication skills to relay instructions from the director to managers, staff and studentworkers.

  • Physical Demands

  • Must be able to lift packages / boxes up to 50 pounds, with some occasional heavier lifting with mechanical assistance or help.
  • Must be able to work in a standing position for extended periods. Must be able to tolerate exposure to noise, dust, and fumes.
  • Must be able to use personal protective equipment as required.
  • Must possess adequate vision to make judgments concerning the overall quality of finished products.
  • Exposed to continuous high noise volume, ability to answer busy phone speaking clearly and understanding customer needs.
  • Bend, pull, receptive arm, hand and wrist / finger motions.
  • Visual Demands

  • Extended period of reading and computer usage.
  • Must have a strong visual eye for design layout, i.e. colors, grayscales, etc.
  • Environment

  • Work within a temperature controlled environment with occasional periods of time in production areas.
  • Loud, continuous high noise volume
  • Exposed to hot and cold temperatures during busy times.
  • Exposed to chemicals / fumes.
  • Technologies

  • Experience and able to operate a computer in a network environment, using both specialized applications as well as standard administrative applications such as g-mail, Microsoft Office, and Adobe CS6 products.
  • Must have knowledge and experience in operating finishing equipment, i.e. Paper cutter, Duplo 3500 booklet system, Duplo DC-645, DB-280 Production Bind, etc.
  • Compensation

  • Grade 11 : $28.53 to $32.81 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.

    Qualifications :

  • Unload and load materials, read plans and specifications, tend machines, and assist carpenters, operating engineers, and other construction site workers.
  • Clean and prepare construction sites as needed, including assisting in erecting / dismantling scaffolding, removing and properly disposing of debris and waste materials.
  • Maintain a safe and clean job site by handling materials and storing them properly, picking up and removing all tools and equipment when not in use, and securing the job site on a daily basis.
  • Load and unload construction supplies from trucks both manually and with the use of equipment.
  • Work with blueprints or instructions from supervisors.
  • Work with materials such as wood, plastic, fiberglass, or drywall.
  • Work on top of stilts, ladders, and the top beams of buildings.
  • Check work regularly to ensure it's up to code and specifications.
  • Operate a variety of hand and power tools, including drills, demo saw, forklifts, skid loaders, chisels, sanders, hoists and other tools as directed by management.
  • Shovel materials to and from construction areas, including asphalt, concrete, dirt and snow.
  • Follow all safety procedures on the job site and report violations immediately to management.
  • Report incidents immediately to safety director, foreman or HR in accordance with incident reporting procedures established by the company.
