Coordinates meetings, travel, agendas, and follow-ups while overseeing internal announcements, TV screen monitors and presentations. May help coordinate corporate events, team-building activities, and appreciation programs.
- Communications 20% - Supports internal and external communication strategies, including branding, PR, customer appreciation, and promotional materials. Assists with press releases, newsletters, company updates, and customer initiatives. Helps coordinate sponsorships and managing sporting event tickets. Assists with branding merchandise, including ordering-distribution for promotional and recognition purposes.
- Employee Engagement 20% - Support HR and Executives with the coordination on employee programs that promote well-being, company values, recognition, and fun activities. As a member of the company’s Culture Committee, the Executive Assistant assists HR and Executive Leadership in developing internal employee engagement activities to foster a positive and productive workplace, including coordination of Volunteer events and Corporate Challenge, among others. This includes assistance with the budget for such activities.
- Building Management 15% - Oversee building management, ensuring office facilities, maintenance, and cleanliness are properly managed. Acts as the primary point of contact with Executive Hills, external contractors and other service providers, proactively addressing concerns before they escalate. Manage office space organization, including cube and floor configurations and ensuring building supplies and maintenance.
- Vendor Management 15% – Maintain a centralized vendor contract database, tracking contract start and end dates, renewal deadlines, and termination clauses. Create a checklist for each vendor outlining deliverables, service level agreements (SLAs), and key milestones. Collaborate closely with Finance, Risk Management, and Business Leaders to track contract expirations and ensure quality of service against agreed-upon terms. Escalate unresolved vendors concern to leadership as necessary.
- Corporate Governance and Enterprise Support 10% - May attend and draft minutes for key committees (e.g., Technology Steering, Risk Management, Credit Risk, ALCO). Provides administrative support to the CFO, including tracking corporate resolutions, officers’ approvals, Board relations, calendar invitations, presentations logistics, and agenda tracking for Board, Audit, and Risk Committee meetings. Assists the Chief Risk Officer with collection of monthly and quarterly internal and external statistics and/or KRIs.
- Supervision of Front Desk Receptionist 10% - The Executive Assistant oversees the front desk receptionist, ensuring a professional and welcoming environment for visitors, clients, and employees. Provides guidance and support to ensure receptionist duties align with various business unit needs.
- Administrative Tasks 10% - Assist with ordering food, catering, scheduling, travel, and meeting logistics. Organize events, offsites, and team-building activities. Manage RSVPs and guest lists for corporate functions. Support new corporate employees with onboarding and workspace setup.
Technical & Professional Requirements:
- Bachelor’s degree or equivalent experience in business management, communication, marketing, or related.
- Proven experience as an Executive Assistant, Marketing Coordinator, Office Manager, or in a similar role.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)
- Experience and understanding of internal/external communications, branding, and public relations (preferred).
- Experience managing third-party vendors and external service providers (preferred).
- Familiarity with corporate governance and other related business documents (preferred).
- High Emotional Intelligence – Ability to assess situations, manage relationships, and communicate effectively.
- Maintains strict confidentiality when handling executive-level communications, decision-making discussions, and other business-related materials. Handles sensitive information with the highest level of professionalism.
- Adaptability & Problem-Solving – Thrives in a high pace environment, proactively addressing challenges.
- Multi-Tasking & Organizational Skills – Capable of managing diverse tasks, similar to a small business owner.
- Strong Communication – Able to craft clear, professional messages for internal and external stakeholders.
- This position will be a hybrid-based schedule with a combination of in-office and remote work.
- Ability to lift/carry up to 25 pounds occasionally.
- Ability to remain stationary (sitting or standing) for prolonged periods.
- Ability to conduct keyboard/computer work for extensive periods.
- Ability to communicate clearly (understand/be understood) with customers in person or over the phone/computer.
