Primary Purpose of Position
The primary purpose of this position is to provide comprehensive administrative and operational support to Extension Specialists within the Youth, Family, and Communities Unit at Cooperative Extension, North Carolina Agricultural and Technical State University. The role involves managing day-to-day activities, including answering calls, drafting correspondence, maintaining databases, coordinating travel arrangements and reimbursements, and handling mail. The position requires the independent execution of various tasks, including some technical duties, to support program functions. Additionally, the role involves applying in-depth program knowledge to provide guidance and advice regarding specific program operations, ensuring efficient and effective program delivery.
Primary Function of Organizational Unit
N.C. A&T is a public, land-grant, doctoral research institution and has been the largest historically Black university in the country for the past decade. Cooperative Extension at North Carolina Agricultural and Technical State University is an educational outreach organization within the College of Agriculture and Environmental Sciences. Cooperative Extension at A&T provides researched-based educational information, programming and technical assistance to limited-resource audiences that address a diverse range of issues in four programmatic areas – Agriculture and Natural Resources, Family and Consumer Sciences, Community and Rural Development, and 4-H Youth Development. This position requires a high volume of public contact in order to gather, distribute and explain information to establish and update records. Daily information relative to programs, conferences and workshops offered by Cooperative Extension is provided to campus and county personnel, general public, other institutions, private, local, state and federal agencies. In addition, this position usually answers questions independently and utilize a variety of sources in acquiring information on a daily basis (i.e. websites, educational materials, etc.). Serves as liaison to staff, students and general public for requests for information. Refers issues and situations that require further attention to immediate supervisor within defined guidelines. Oral and written with various campus offices is essential in the preparation and processing of travel arrangements, itineraries, establishing appointments, meetings and conferences.

This position is responsible for organizing and maintaining both electronic and paper office records and files for easy retrieval. It tracks expenditures for travel, program development, and professional development funds allocated to assigned faculty, ensuring adherence to budget allocations. The role includes completing travel authorization and reimbursement requests for faculty and staff, covering transportation, subsistence, registration, and other related costs. Additionally, the position calculates and verifies figures for grant budgets, identifying and correcting any discrepancies.
The role also involves establishing, updating, and purging filing systems for each faculty member, including budgets, technical reports, and subcontractual agreements. It processes outgoing mail (correspondence, forms, packages) to ensure timely delivery and retrieves incoming mail from the departmental mailroom.

This position is responsible for creating a variety of documents, including letters, memorandums, agendas, itineraries, justifications, mailing lists, budget revisions, databases, invoices, charts, forms, and labels. It also involves editing and proofreading educational materials and other documents, providing constructive feedback. Additionally, the role includes creating and distributing surveys and registration forms using Qualtrics software, ensuring all materials are accurate and professionally presented.
