Description:
This full-time position in the Advancement Department reports to the Director of Constituent and Database Operations. This position supports Advancement and the Museum by recording and maintaining data in the Museum’s CRM, Tessitura.
Gift Processing and Acknowledgment
- Enters and updates contributions, memberships, gifts-in-kind, gifts of art, and constituent data into the Museum’s CRM, Tessitura.
- Reconciles transactions from the CRM with the financial information on a daily and monthly basis to ensure alignment of CRM and accounting data. Troubleshoots inconsistencies across the Finance and CRM systems.
- Generates timely and accurate gift acknowledgment letters, tax receipts, and pledge reminders.
- Proactively identifies opportunities to increase efficiency in gift processing and opportunities to enhance the CRM to provide better customer service to internal and external customers.
Data Management
- Performs regular data audits to ensure the accuracy of information entered in the CRM.
- Proactively identifies ways to improve existing data audit systems and develop new data audits systems as needed.
Reporting
- Produces accurate reports and lists for staff using standard Tessitura reports and lists.
Customer Service
- Participates in the member and visitor experience by interacting with members and visitors in the Museum and by seeking ways to enhance their experience. This requires occasional time at Museum events, which may be on evenings or weekends.
- Interacts positively with donors and members to confirm, correct, and process gift information as necessary.
- Bachelor’s degree required.
- Strong knowledge of Outlook, Word, and PowerPoint. Advanced knowledge of Excel.
- Detail oriented with proven ability in data entry and analysis.
- Strong computer and analytical skills.
- Proven ability to prioritize, meet deadlines, and work independently and as part of a team.
- Demonstrated ability to work successfully with multiple constituencies, both internal and external.
- Must be able to maintain confidentiality.
- 1–3 years of experience in financial or data entry environment.
Preferences
- Gift processing experience in a donor-centric environment.
- Familiarity with Tessitura.
