Summary of Position
North Cascades Institute is seeking a qualified candidate for the position of Guest Services Coordinator (GSC) at our Environmental Learning Center (ELC), located in the North Cascades National Park. The GSC will be responsible for overseeing daily operations, including front desk services, housekeeping, office administration, and logistical support, ensuring a seamless guest experience. This role reports to the Operations Director and requires collaboration with staff to maintain high service standards for guests and program participants. The GSC will manage a portion of the operations budget and execute daily tasks independently.
Please note, the jobsite can experience challenging environmental conditions such as snow-covered roads, avalanches, wildfires, smoke, wild animals, and flooding. The position is a regular, full-time role, with supervision provided by the Operations Director. Essential Functions
1. Team Leadership and Supervision
- Lead, train, and supervise the Housekeeping team and Front Desk Assistant, ensuring team members have the necessary skills and resources for their roles.
- Oversee daily operations, performance, and scheduling for housekeeping and front desk teams.
- Provide guidance and mentorship to staff, fostering a collaborative and high-performance work environment.
- Manage team development, including hiring, onboarding, and conducting performance evaluations.
2. Budget Management and Operational Oversight
- Oversee budgets for housekeeping, office operations, and related categories.
- Monitor expenditures, identify cost-saving opportunities, and ensure departments stay within budget.
3. Facility and Operational Management
- Maintain exemplary cleanliness standards across all ELC buildings and spaces. Coordinate large-scale cleaning projects and group needs.
- Oversee the inventory and condition of housekeeping equipment and supplies, ensuring quality control.
- Serve as the main point of contact for housekeeping, maintenance, and food service coordination with other departments (Program Director, Food Service Manager, etc.).
4. Administrative Leadership and Program Support
- Lead administrative functions for ELC programs, streamlining processes and improving efficiency.
- Act as Salesforce gatekeeper, ensuring accurate and approved program data.
- Manage Room and Board needs for ELC employees, including meal sign-ups and housing logistics.
5. Front Desk, Campus Store, and Merchandise Sales
- Manage operations of the ELC Campus Store, including sales and merchandising.
- Oversee the POS system, daily deposits, bookkeeping, and inventory control under the Retail Manager's guidance.
- Serve as the primary point of contact for guest inquiries, including phone calls, walk-in visitors, and general communications.
- Collaborate with the Sedro-Woolley-based Marketing department, including collecting and sharing stories, photos and videos from Learning Center programs, ensuring campus print materials are stocked and up-to-date and other tasks as assigned.
6. Office and Equipment Management
- Oversee office supplies, First Aid Room inventory, and equipment management (vehicles, cameras, radios, etc.).
- Ensure proper maintenance of office systems and staff training on equipment use.
- Manage inventory systems for non-program-specific equipment (vehicles, cameras, laptops, radios, etc.), ensuring all items are properly maintained and checked out.
- Manage our 2 way radio system and other Risk Management Equipment
7. General Operations and Safety
- Serve as a member of the Daytime Incident Commander Team, assisting with emergency response and safety protocols.
- Contribute to risk management, strategic planning, and special projects as assigned by the Operations Director and Risk Management and Operations Specialist.
- Collaborate with other departments on inter-office communication and Institute-wide initiatives.
8. Additional Responsibilities
- Participate in staff meetings, risk management sessions, and organizational initiatives.
- Serve on committees, such as Safety and Housing, to ensure adherence to policies.
Housing
Subsidized housing may be available. Private rooms in shared houses are often available. In some cases, roommates in shared rooms may be required.

Experience and Skills:
Required Qualifications:
- 2 years of proven experience in operations logistics, administration, or related roles.
- 2 years of supervisory experience.
- Ability to accommodate a flexible work schedule.
- Exceptional phone etiquette and communication skills.
- High level of customer service and interpersonal skills to handle sensitive situations.
- Excellent organizational skills and ability to manage multiple priorities.
- Valid driver’s license with no more than one moving violation or a single serious offense in the last three years or any single alcohol or drug-related offense within the past five years.
- Proficiency with computers, spreadsheets, and Microsoft Office applications.
- Ability to successfully complete a background check, including employment history, criminal background, sex offender registry, and driving record check.
- Reliable transportation to and from work.
Preferred Qualifications:
- Experience with Customer Relationship Management systems (e.g., Salesforce).
Job Benefits:
Compensation - This is a regular, full-time, non-exempt position. The pay rate is $21.50-22.26 per hour depending on experience. The job location for this position is at the Environmental Learning Center.
Benefits - We offer a competitive compensation package. Benefits include the following:
- Sick Leave – accrued at the rate of .04615 per hour.
- Vacation Leave – accrued at the rate of .01925 per hour.
- Holiday Leave – 12 days maximum per year.
- Service Days – 2 days per year.
