Medical Office Receptionist: Must be Spanish Speaking as well.
Fast paced, upbeat orthopedic practice is seeking a Patient Care Coordinator to add to our growing team of dynamic healthcare professionals. Successful candidate will be friendly, professional, love working with patients, and have strong front desk experience including experience with insurance in an orthopedic office setting.
RESPONSIBILITIES & DUTIES include, but are not limited to, the following:
- Answers the telephone pleasantly and handles call, routes call or takes message. Receives fax referrals from physician and other sources.
- Contacts patients to schedule appointments. Pre-registers new patients over the telephone in advance of their visit. Verifies patient's insurance eligibility
- Obtains payor-required authorizations for office visits
- Makes appointment reminder phone calls or uses automated systems 48 hours before designated patient appointments
Check In and Registration
- "Opens" the office each day, according to protocol
- Prints prior office visit notes and results pertaining to new visit one day ahead of time. Prints face sheet for all new patients scheduled
- Greets patients as they arrive in medical office for scheduled appointments
- Provides new patients appropriate paperwork for required signatures
- Confirms demographic and insurance information for new and established patients, according to protocol; scans each patient's insurance card and photo ID, front and back
- Confirms that electronic insurance eligibility was completed, or repeats prior to visit
- Explains financial and collection policies to new patient's written guidelines to each patient
- Ensures all patient paperwork is complete before patient is seen and flags the chart for the clinical staff
- Informs patients in the reception area when the physicians are running behind. Screens visitors and responds to routine requests for information
- Collects co-payments from patients at the time of their visit and goal is to collect at least 90% of all collectible charges daily and posts payments into the computer and provides patient with a computerized receipt
- Keeps the patient reception area neat and clean at all times throughout the day
Check Out
- Requests payment in addition to the day's services from patients for self pay
- Ensures physicians complete encounter forms; marking CPT and ICD-10-CM codes
- Schedules follow-up appointments for patients before they leave the office and provides an appointment card/appointment slip
- Facilitates requests for referrals; schedules tests and specialist appointments as needed; pre-certifies tests as required by insurance company
- Balances daily over-the-counter transactions and reconciles encounter forms; prepares deposit slip and delivers "daily close" packet to the Billing Coordinator
- Closes the office each day, according to protocol
Other Shared and Common Duties of Medical Receptionist
- Ensures all faxes are cleared off the portal
- Sorts incoming reports and directs to appropriate person
- Facilitates any physician or manager requests throughout the day
- Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice
- Maintains detailed knowledge of practice management and other computer software as it relates to job functions
- Attends all regular staff meetings
- Performs all other tasks and projects assigned by the Manager
Supervisory Responsibilities
This job has no supervisory responsibilities.
Qualifications and Skills of Medical Receptionist include:
- Up to two years experience in a medical office, or other customer service position
- Comfortable using email and interacting with Internet applications
- Knowledge of practice management and word processing software
- Ability to perform multiple and diverse tasks simultaneously
- Proven experience handling irate patients/customers and dealing with conflict
- Familiarity with scheduling and rearranging appointments
- Working knowledge of managed care
- Pleasant speaking voice and demeanor
- Neat, professional appearance
- Strong written and verbal communication skills
- Bilingual-Spanish a plus
- Accurate and fast data entry skills
- As a condition of employment, at this time, all candidates will be required to provide proof of full vaccination upon hire
ADDITIONAL RESPONSIBILITIES:
Work as a team member within the patient services department and all other departments.
- Must be able to recognize and respond appropriately to urgent/emergent situations.

Pay: $17.00 - $21.00 per hour
